Summary
The Dispensary Assistant provides support in the dispensary and receiving area. The Dispensary Assistant is responsible for the dispensing, collecting, processing, and general care of dental instruments, equipment, and all supplies utilized in the Dental Clinic. The position reports to the Supervisor of Dispensary for the Dental Clinic and must be able to adapt to work schedule changes based on the hours of the clinic.
Essential Duties and Responsibilities
- Assist in the dispensing of all disposable and fixed assets such as instruments, equipment, and dental products to the Practice Assistants, students, and clinical faculty members as needed with a professional demeanor.
- Fill internal orders for the Dental Institute by utilizing the axiUm Inventory software.
- Process external orders which include obtaining and submitting invoices, entering UPC and product codes, updating pricing, dispensing back orders, track expiration dates, and returning defective goods.
- Perform inventory counts and report stock balance discrepancies to the Supervisor of Dispensary for resolution.
- Maintain the organization, cleanliness, and general appearance of the dispensary and central supply space and related storage facilities.
- Assist in the training of new employees.
- Troubleshoot equipment, perform maintenance, and send out repairs while keeping track of detailed information throughout our shared files.
- Ensure all equipment is returned to the dispensary in clean and excellent working condition.
- Must be able to multitask and fluctuate between floors for coverage.
- Assist with shelf organization for dispensary and receiving area.
- Participate in Dental Clinic meetings.
- Consistently provide exceptional service to internal customers.
- Maintain a welcoming atmosphere to promote collegiality among student doctors, faculty, and staff.
- Assist with other duties within the clinic as assigned.

The ability and willingness to cross-train in other areas of the Dental Clinic is required. The ability to interact professionally with vendors is also required. This position requires a high degree of knowledge of dental products, troubleshooting equipment, multitasking, paying attention to detail, and organizational skills.
Education and/or Experience
High school diploma or GED is required. A minimum of 1-2 years of work experience in an inventory or dental office setting is required. Preference will be given to candidates with experience from a dental background. The ability to troubleshoot equipment, along with familiarity with OSHA guidelines. Knowledge of dental equipment, general dental-related procedures, and proper infection control protocols preferred. Experience working in a team and customer service-oriented environment and excellent written and verbal communication skills are essential. The individual should be a person committed to ensuring that a work-friendly environment exists with faculty and students.
Computer Skills
Working knowledge of MS Office (Word, Excel, and Outlook) and must be knowledgeable in dental software preferred. The individual must have the ability to become familiar with axiUm Dental Software Management System.
Language Skills
Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
