Job Summary
The highly organized Administrative Assistant II will coordinate and manage tasks essential to the successful operation of the Office for Academic Affairs. This includes but is not limited to supporting the creation of a standard operating procedures manual, coordinating travel plans, participating in special projects/events and other duties as assigned.
Job Duties
Academic Affairs is a fast-paced executive office seeking an energetic, customer service and team-oriented professional. This self-starter will have an excellent opportunity to work in a strong team environment that values the creative use of technology to deliver service. Must have the ability to work independently, while functioning as a team member, performing a wide range of complex and confidential administrative duties. The punctual individual will open the office daily and is often the first point of contact for internal and external guests. This highly organized Administrative Assistant II will coordinate and manage tasks essential to the successful operation of the Office for Academic Affairs, including but not limited to supporting the creation of a standard operating procedures manual, coordinating travel plans, participating in special projects/events and other duties as assigned.
Duties & Responsibilities:
- Maintains an organized filing system of paper and electronic documents/document tracking
- Drafts letters, memoranda and reports including project progress updates
- Researches, arranges and completes travel booking and reimbursement
- Organizes events on and off campus
- Prepares documents for meetings
- Drafts meeting minutes
- Provides support for presentations and events
- Schedules room reservations for meetings
- Requests catering for meetings
- Answers, forwards, and screens phone calls
- Answers/responds to emails/inquiries and monitor follow up actions
- Upholds strict level of confidentiality
- Utilizes Google Workspace proficiently
- Receives/directs guests
- Other duties as assigned
Requested Minimum Qualifications
Education: High School Diploma or GED is required.
Experience: Three years secretarial experience is required.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
