The Records & Registration Associate position will provide direct support to students, faculty, staff, and the campus community regarding academic and operational issues with registration and academic records. These services are provided in person, over the telephone, via email, and via live chat. This position will also assist in the upkeep of student and academic records along with other special processes relating to registration and academic services. The Records & Registration Associate position will require a general understanding of university departments and programs as well as policies and procedures requiring confidential matters. Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing.
Responsibilities and Duties
- Provides customer service at the Registrar’s Service Center counter to students, faculty and campus community. Answers PeopleSoft inquiries; screens and responds to emails sent to the Records and Registration queue; answers phone calls and refers to appropriate departments; responds to online chat messages.
- Review and convert student records and transcripts from legacy student database systems into PeopleSoft and other student database systems. Coordinate with the technology team as needed to troubleshoot and resolve student record issues.
- Develops, implements and maintains electronic and paper filing systems which meets departments and University needs to satisfy requirements for retention and information security. Assists in numerous different processes within the Records & Registration office. Enters, updates, and retrieves information related to assisting faculty and staff with the input of final grades. Assist in correction of records for graduating students for degree completion and awarding. Verifies enrollment, graduation via postal mail, telephone, and email of current students and Alumni.
- Acts as intermediary for Assistant Director of Records & Registration, interacting with officials, staff at all levels and the public. Provides information requiring comprehensive knowledge of Institutional policies, procedures, and special departmental issues.
- Inputs registration as requested by students each semester while being aware of policies regarding credit load limits and department consent required by departments. Assist students in alternate selection of course availability when the primary courses are not available or cancelled. Assist students with more complicated online registration issues.
- Edits, formats and revises a variety of documents and materials created by other departments during the posting of transfer credits and change of grade. Verify form is approved and official transcript from the other institutions which proper course and grade are notated. Input data from approval petition and official transcript into PeopleSoft to be recorded on the student's official Towson University transcript. Post study abroad courses on academic record approved by the Study Abroad Office.
- Process transcript requests via counter or third-party vendor in a timely manner. Research accuracy of information for student and academic record.
- Maintain and retrieve student electronic academic folders. Scan documents for archival purposes. Index documents to the proper student account, retrieve and then shred. Assist with student inquiries and resolve conflicts or missing information. Participate in special projects as assigned by the Assistant Director of Records & Registration.
Qualifications and Skills
High School Diploma, or equivalent, and three years of administrative experience.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience. Higher Education and Administrative experience preferred.
