MATTE is seeking an organized, analytical and motivated administrative professional to handle a range of business tasks for two of our Founders. This is a great opportunity for a driven, self-motivated individual to help support key initiatives and day-to-day operations across the company. This role is ideal for someone looking to join a fast-paced and rapidly growing company, contribute to meaningful projects, and work closely with innovative leaders on transforming a beloved brand into a leading agency.
The ideal candidate will want to build their career. In this role, you will provide support to two of our Founders to ensure they can focus on what they do best. You represent our company, serving as an initial point of contact for the teams you support. You will be responsible for anticipating the needs of the founders you aid, helping resolve operational and administrative issues, directing emails and calls to appropriate contacts, drafting and managing correspondence, and more.
Role + Responsibilities:
- Manage the founders' complex calendars, scheduling meetings, creative brainstorms, special projects, appointments, etc.
- Help protect the founders' time to ensure adequate balance of the calendar.
- Coordinate travel arrangements, accommodations, and itineraries for both domestic and international trips.
- Build efficiency and effective responsiveness into existing operations for the two founders.
- Manage external requests on behalf of the founders, providing effective communication to both parties as appropriate.
- Organize the founders' prioritization of agenda, weekly task list, preparation and distribution of agenda and materials.
- Help translate complex issues into simple courses of action.
- Partner with relevant teams to manage the intake and preparation for internal & external meetings, appearances, interviews, keynotes, networking events, etc.
- Maintain list of VIP contacts and relationships.
Qualifications and Requirements:
- A minimum of 2 years of administrative support experience, ideally with exposure to senior leaders
- Strong organizational and time management skills
- Strong interpersonal skills and ability to multitask in a fast-paced environment
- Proficiency with Google Suite of products (Docs, Sheets, Slides)
- Strong written and oral communication
- Ability to use office equipment, including copiers/scanners, etc.
- B.A / B.S degree or equivalent experience
- Pleasant and professional demeanor at all times with great attention to detail
- Expectation of confidentiality on all business matters
- Ability to work on-site at our office in New York 4x days per week
Compensation range: $70,000 – $80,000 annually based on relevant experience
