The Proposal Manager leads the end‑to‑end proposal development process and is responsible for producing high‑quality, compliant, and compelling proposal responses. This role partners closely with Sales, Solution Architects, HR, Pricing, and other SMEs to develop content, manage timelines, and ensure all deliverables meet client requirements. The ideal candidate thrives in deadline‑driven environments, communicates with empathy, and brings strong project‑management discipline to keep complex efforts on track.
Key Responsibilities
- Manage the full proposal lifecycle for medium‑ to high‑complexity pursuits, from initial release through final submission.
- Review RFP/RFI documents to ensure a fully compliant and complete response.
- Create, maintain, and format proposal templates and supporting materials.
- Use Loopio (primary tool) or similar RFP response software (e.g., RFPIO, Responsive) to manage content, workflows, and collaboration.
- Work closely with SMEs—including Solution Architects, HR, and business owners—to gather information and develop clear, client‑focused content.
- Edit and refine content using both manual editing and AI‑supported tools.
- Coordinate and facilitate key proposal activities such as Writer’s Workshops, Storyboarding sessions, Red Team reviews, and content reviews with leadership.
- Ensure all proposal components are packaged professionally and submitted on time.
- Track milestones, manage deadlines, and maintain strong communication across cross‑functional teams.
- Develop tailored messaging and value propositions that differentiate the company from competitors.
- Recommend process improvements to enhance proposal quality and efficiency.
- Maintain and update client‑facing content libraries as needed.
- Provide non‑technical writing support to articulate value propositions aligned to client business outcomes.
You will be successful in this role if you have:
Key Qualifications
- BA/BS degree and 4–6 years of relevant experience, or an equivalent combination of education and experience.
- 2–3 years of experience with Loopio or another proposal/RFP response management platform (e.g., RFPIO, Responsive).
- Strong project‑management skills with the ability to manage multiple proposals and shifting priorities.
- Excellent writing, editing, and document‑management skills (Microsoft Word expertise required).
- Ability to work effectively under tight deadlines while maintaining a positive, empathetic, and collaborative approach.
- Strong interpersonal skills with the ability to partner across diverse teams and subject‑matter experts.
- Highly organized, detail‑oriented, and comfortable driving timelines and deliverables.
- Flexible and adaptable work style with an appreciation for work‑life balance while meeting critical deadlines.
