E-3 Visa Talent Operations Specialist Jobs
Talent Operations Specialist roles qualify for E-3 visa sponsorship when the position requires a bachelor's degree in human resources, business, or a related field. The E-3 has no lottery and no annual cap, so Australian professionals can pursue these roles year-round with standard two-year renewable status.

INTRODUCTION
MaintainX is the world's leading AI-powered maintenance and asset management platform, serving 13,000+ customers including Duracell, Shell, Cintas, and Brenntag. We raised $150M in Series D funding led by Bessemer Venture Partners and Bain Capital Ventures, bringing our total funding to $254M. We were named to the Forbes 2025 Cloud 100, the definitive ranking of the top 100 private cloud companies in the world.
We're growing fast and hiring the talent team to match.
THE ROLE
We’re hiring a Talent Operations Manager to build and lead the operational engine behind how MaintainX hires. This is a people management role: you’ll lead a team of recruiting coordinators, sourcers, and specialists while owning the systems, processes, and data infrastructure that powers 400+ hires per year.
You’ll report to the VP of Talent and partner closely with Talent Partners, People Ops, Engineering, and Finance. This isn’t a support function. You’re building the operating system for a $2.5B company’s talent machine.
WHAT YOU’LL DO:
People Leadership The most important part of this role you’re building a team, not just systems.
- Lead 4–5 direct reports (recruiting coordinators, sourcers, ops specialists) across EPD, GTM, and G&A, growing with the company
- Set clear expectations, run 1:1s, deliver direct feedback, and build development plans for every team member
- Elevate the team beyond scheduling into true ops: data analysis, process optimization, systems ownership, and candidate experience
- Own hiring and performance management who to hire, develop, or move on
- Build career paths that retain strong coordinators and sourcers within MaintainX
- Foster a culture of speed, accuracy, and candidate obsession
Talent Operations Strategy & Execution
- Own the ATS (Ashby, migrating from Greenhouse in April 2026) workflows, automations, approval chains, and reporting
- Build real-time analytics dashboards for pipeline health, funnel conversion, time-in-stage, and capacity
- Drive process discipline: 48-hr stage movement, 24-hr interview feedback, structured debriefs define the standards and enforce them
- Partner with Finance on headcount planning, forecasting, and capacity modeling
- Identify and eliminate manual steps through automation; ensure data integrity and compliance across all systems
Tools & Systems Ownership
- Ashby: Own configuration, workflows, reporting, integrations, and team adoption
- Assessment tools: Partner with engineering on HackerRank/CodeSignal integration into Ashby
- Sourcing stack: Manage Juicebox, LinkedIn Recruiter, and emerging AI tools; drive adoption and measure ROI
- Interview intelligence: Evaluate and roll out Brighthire for recording and notetaking
- Cross-functional: Ensure talent systems integrate with IT, Security, and People Ops; maintain compliance
ABOUT YOU:
- 5+ years in talent operations or recruiting operations, with at least 2 years managing a team of coordinators, sourcers, or specialists.
- You’ve built or significantly improved talent operations at a high-growth tech company (Series C+ or 200+ employees).
- Deep expertise with a modern ATS. Ashby experience is a strong plus. Greenhouse migration experience is relevant.
- Comfortable with data: you build dashboards, define KPIs, and use metrics to drive decisions, not just report on them.
- You’ve managed recruiting coordinators before and know how to develop them into strong operations professionals.
- You move fast, communicate directly, and don’t wait for permission to fix something that’s broken.
- Builder mindset: you’d rather create something from scratch than tweak something that doesn’t work.
EVEN BETTER IF YOU:
- Experience with Ashby specifically, including workflow automation, custom reports, and API integrations.
- Familiarity with capacity modeling and recruiter workload analysis.
- You’ve led an ATS migration end-to-end (scoping, data migration, template rebuild, training, adoption tracking).
- Experience with technical assessment tools (CodeSignal, HackerRank) and their ATS integrations.
- SQL or BI tool experience for building custom analytics beyond what the ATS provides.
WHAT’S IN IT FOR YOU:
- Competitive salary and meaningful equity opportunities.
- Healthcare, dental, and vision coverage.
- 401(k) / RRSP enrollment program.
- Take what you need PTO.
- A Work Culture where:
- You’ll work alongside folks across the globe that reflect the MaintainX values, Smart Humble Optimist.
- We believe in meritocracy, where ideas and effort are publicly celebrated.
About us:
Our mission is to deliver one platform for maintenance, repair & operations teams to keep the physical world running. We believe the greatest asset in any organization is the people. That’s why we built an intuitive, mobile-first solution to help boost productivity and collaboration across teams and locations.
MaintainX is committed to creating a diverse environment. All qualified applicants will receive consideration for employment without regard to race, colour, religion, gender, gender identity or expression, sexual orientation, national origin, genetics, disability, age, or veteran status.

Frame your HR credentials for U.S. standards
Your Australian three-year bachelor's degree is generally accepted as equivalent to a U.S. four-year degree for E-3 purposes. Get a credential evaluation from a NACES-approved evaluator before your first interview so the equivalency is documented and ready.
Target employers with existing HR infrastructure
Companies that already run internal talent operations teams understand what the role entails and are less likely to push back on sponsorship. Look for organizations with dedicated People Ops or HR Systems functions, not just a single generalist HR contact.
Confirm the role meets specialty occupation requirements
The E-3 requires a direct link between your degree field and the job duties. A Talent Operations Specialist role must require a degree in HR, business, or a related discipline, not just accept any bachelor's degree, to qualify under DOL's specialty occupation definition.
Use Migrate Mate to search and file efficiently
Search for Talent Operations Specialist roles with verified E-3 sponsorship history using Migrate Mate, then use Migrate Mate's E-3 filing service to handle your LCA and visa paperwork once you have an offer, so nothing stalls between acceptance and your start date.
Request LCA filing immediately after verbal offer
The DOL must certify your Labor Condition Application before you can book your consulate appointment. Ask your employer to submit the LCA to DOL the week you receive your written offer so certification doesn't delay your visa timeline.
Prepare for consulate questions on your operational scope
Consular officers assess whether your role genuinely requires degree-level expertise. Bring documentation showing your responsibilities, the systems you manage, and any process design or cross-functional coordination work, not just a job description.

Find Talent Operations Specialist JobsTalent Operations Specialist E-3 Visa: Frequently Asked Questions
How do I find Talent Operations Specialist jobs with E-3 visa sponsorship?
Migrate Mate is the recommended way to search for Talent Operations Specialist roles with E-3 sponsorship. Standard job boards rarely filter by visa type, so you waste time applying to employers who won't sponsor. Migrate Mate surfaces roles from employers with active E-3 and LCA filing history, so your search is targeted from the start.
How much does it cost to get an E-3 visa?
Migrate Mate's E-3 filing service covers the entire process for $499, including the Labor Condition Application, visa document preparation, and consulate appointment guidance. Traditional immigration lawyers charge $2,000–$5,000+ for the same work. The E-3 has less paperwork than most work visas, so paying thousands for legal help is usually unnecessary.
Does a Talent Operations Specialist role qualify as a specialty occupation for the E-3?
Yes, if the employer requires a bachelor's degree in a specific field such as human resources, business administration, or organizational psychology. The role must not accept any bachelor's degree regardless of field. Talent operations work that involves system administration, workforce analytics, or HR program design typically meets the specialty occupation standard because it requires discipline-specific knowledge.
How does the E-3 compare to the H-1B for Talent Operations Specialist roles?
The E-3 is available year-round with no lottery and no annual cap, while the H-1B uses a randomized lottery that most applicants don't win. For Talent Operations Specialists, this means you can start the E-3 process the moment you have an offer rather than waiting for an April registration window. The E-3 is also renewable indefinitely in two-year increments with no cap on renewals.
Can I change employers or roles while on an E-3 as a Talent Operations Specialist?
Yes, but the new employer must file a fresh LCA with DOL before you switch. You cannot transfer an existing E-3 to a new employer. If your role changes significantly within the same company, such as moving from talent operations to a broader HR leadership function, your employer may need to file an updated LCA to reflect the new duties and prevailing wage level.
