The role
We're looking for a confident, dependable, detail-oriented Events Manager to make every workshop and event we run feel effortless for our guests. You will own each event from first plan to postmortem: the room, the food, the materials, the guests, and the team that makes it happen. Expect 3 to 4 events per week, growing to 5, ranging from keynote speaking engagements to small group sessions and workshops, at our office and at offsite venues.

What you will be accountable for
- Event execution: every event planned, set up and delivered on time and to standard.
- Guest experience: every guest greeted warmly and looked after from arrival to departure.
- Project management: every event task tracked, chased and completed on time, including tasks owned by others.
- Capture and handoff: notes, recordings, client information and leads captured, archived and passed to the right person.
- Continuous improvement: a postmortem after every event, with improvements made before the next one or parked on a future list.
What you will do
- Plan each event 3 to 4 weeks out, including materials, catering, supplies, guest details and hosting gifts.
- Arrive early, set up the room, greet guests, and stay until the last guest leaves.
- Run client check-in, take live notes and manage recordings.
- Handle lunch and refreshments, and keep the room quiet and tidy during sessions.
- Travel with our speaker to offsite events and keynotes and pack everything needed.
- Keep our session room and office organized and ready for client meetings, including supplies, equipment, mail and packages.
Who you are
- Experienced in event coordination, hospitality or client-facing operations.
- A strong project manager who tracks many moving parts and follows up until the work is closed.
- Polished and personable with clients, and direct and courageous with teammates when a task is slipping.
- Observant and meticulous, and resourceful when something goes wrong.
- Comfortable with Canva, Google Workspace and Slack.
Schedule and work setting
- In the office 5 days a week.
- Early mornings and occasional weekends.
- Some travel to offsite events.
