Job Overview
The Executive Assistant/Executive Partner provides proactive, high-level support to the Company's C-Suite executives and serves as a trusted partner in managing priorities, communication and execution. The role combines executive support, sound business judgment, strategic coordination and hands-on operational support to help executives maximize their time and organizational impact, including effective use of AI-enabled tools to improve efficiency, preparation and workflow execution.
Primary Job Responsibilities
- Serve as a trusted partner to assigned C-Suite executives by anticipating needs, understanding business priorities and translating executive direction into coordinated action.
- Proactively manage complex calendars, meetings, travel and competing priorities to ensure executive time is aligned with key business needs.
- Prepare executives for meetings by developing agendas, briefings, presentations, talking points and relevant business context; attend selected meetings and coordinate follow-up on decisions and action items.
- Maintain executive priorities, deadlines and commitments; proactively identify conflicts, risks and matters requiring executive attention.
- Coordinate cross-functional initiatives, special projects and executive-sponsored activities, helping drive alignment, accountability and timely execution.
- Research, synthesize and present information in concise executive summaries, reports, presentations and decision-support materials.
- Leverage approved AI tools to streamline research, meeting preparation, drafting, summarization, workflow coordination and routine administrative tasks, while applying sound judgment and maintaining confidentiality, privacy and Company requirements.
- Draft, edit and manage executive communications and correspondence; triage incoming requests and escalate time-sensitive or strategic matters as appropriate.
- Serve as a professional liaison among executives, Board members, leadership teams, employees and external stakeholders, exercising discretion and sound judgment.
- Coordinate leadership meetings, executive meals, off-sites, corporate events and related logistics; prepare and reconcile executive expenses.
- Maintain confidential corporate records, reports and executive materials and handle highly sensitive information with discretion and professionalism.
- Support office operations and workplace needs, including office coordination, supplies, moves and overall office readiness, as needed.
- As an incidental part of executive and office support, occasionally complete local business-related errands, deliveries, pickups or other routine logistical tasks as reasonably requested.
- Adhere to HIPAA, Company Confidentiality and Code of Conduct requirements, as well as applicable False Claims, Anti-Kickback and Stark Law requirements.
- Perform other duties, special projects and assignments as reasonably requested by executive leadership.
Education and Experience
- Bachelor's degree in business, communications, management or a related field preferred; equivalent relevant experience considered.
- Minimum five years of progressively responsible experience supporting C-Suite or senior executives; strategic Executive Assistant or executive business partner experience preferred.

- Exceptional organization, prioritization and follow-through, with the ability to manage multiple competing priorities in a fast-paced environment.
- Strong written and verbal communication, executive presence and interpersonal skills with C-Suite leaders, Board members and internal/external stakeholders.
- Strong analytical, research and problem-solving skills, with the ability to synthesize information into concise executive-level insights.
- Ability to work proactively and independently, anticipate needs, exercise sound business judgment and maintain strict confidentiality.
- Strong project coordination skills and ability to build credibility, influence follow-through and drive accountability across multiple stakeholders.
- Demonstrated experience using AI-enabled productivity tools to improve executive support, administrative efficiency and work quality; ability to evaluate and appropriately apply emerging AI capabilities preferred.
- Advanced proficiency in Microsoft Office, including Outlook, PowerPoint, Word and Excel.
