Job Overview

We’re seeking a reliable, organized Personal Secretary & HR Assistant for a part-time role. You’ll keep executive and office operations moving by managing calendars, coordinating projects and events, and supporting routine human resources and bookkeeping tasks. This role suits someone who communicates clearly, handles confidential information with care, and can shift smoothly between priorities.

Responsibilities

• Provide executive administrative support, including calendar management, business travel arrangements, typing, transcription, filing, and data entry.
• Coordinate projects, internal communication, and event planning; collaborate with C-suite executives and colleagues to keep details on track.
• Support office management, customer service, multi-line phone systems, and day-to-day administrative needs with professional phone etiquette.
• Assist with bookkeeping and records using QuickBooks and DocuSign, and organize information in Microsoft Office and Google Workspace.
• Your impact: Accurate coordination and discreet handling of information help executives and employees stay informed, prepared, and focused.

Requirements

• Strong organizational, writing, and computer skills, with administrative or office experience; personal assistant or executive assistant experience is preferred.
• Familiarity with Microsoft Outlook Calendar, productivity software, video conferencing software, and project coordination or project management.
• Ability to manage executive calendars, organize events, and handle confidential information with discretion.
• QuickBooks, bookkeeping, DocuSign, and multi-line phone system experience are helpful; equivalent tools and experience are welcome.

Pay: $18.35 - $30.53 per hour

Expected hours: 30.0 per week
