Human Resources Administrator

About the role
The HR Administrator provides administrative and operational support for the Human Resources department. This role is responsible for maintaining employee records, supporting onboarding and offboarding, assisting with benefits administration, ensuring compliance with federal and state employment laws, and providing exceptional customer service to employees and managers. The ideal candidate is highly organized, detail-oriented, maintains confidentiality, and thrives in a fast-paced environment.
Essential Duties & Responsibilities
Maintain accurate employee records, personnel files, and HRIS data while ensuring compliance with company policies and employment laws.
Process employee lifecycle transactions, including hiring, onboarding, promotions, transfers, compensation changes, leaves of absence, and terminations.
Coordinate onboarding and offboarding activities, including offer documentation, I-9 verification, background checks, new hire training, exit processes, and employment verifications.
Administer employee benefits by assisting with enrollments, qualifying life events, open enrollment, vendor communications, and maintaining accurate records.
Support leave administration by coordinating FMLA, ADA, CFRA, Pregnancy Disability Leave, and other leave requests while maintaining confidential medical records.
Assist with HR compliance initiatives, including labor law postings, OSHA and workers' compensation documentation, I-9 compliance, and internal HR audits.
Provide payroll support by processing employee changes, resolving timekeeping issues, verifying deductions, and coordinating with Payroll.
Serve as a resource for employees and managers by responding to HR-related inquiries while maintaining confidentiality and escalating sensitive matters as appropriate.
Maintain HR documentation, reports, certifications, training records, and standard operating procedures while supporting employee engagement initiatives and other HR projects as assigned
Qualifications
Required
High school diploma or GED required.
Associate degree in Human Resources, Business Administration, or related field preferred.
2+ years of HR administrative experience.
Experience using an HRIS (Rippling preferred).
Proficiency in Microsoft Office and Google Workspace.
Strong written and verbal communication skills.
Excellent organizational and time management skills.
Ability to handle confidential information with discretion.
High attention to detail.
Preferred
Experience supporting multi-state employers.
Knowledge of California and Texas employment laws.
Experience with benefits administration.
Experience with leave administration.
Experience with onboarding and payroll coordination.
SHRM-CP, PHR, or working toward certification.
Knowledge, Skills & Abilities
Strong customer service, communication, and interpersonal skills.
Excellent organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
Strong problem-solving skills with the ability to work independently and exercise sound judgment and discretion.
Ability to interpret and apply company policies, procedures, and employment-related guidelines.
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Occasionally lift up to 20 pounds.
Ability to communicate effectively in person, by phone, and electronically.
Work Environment
Corporate office environment with occasional visits to company locations.
