Job Summary
Reporting to the Director, you will provide high-level administrative and operational support to enhance the mental well-being of University of Michigan medical students. You will serve as a compassionate first point of contact, balancing clinical triage and crisis response escalation with complex program coordination. Working closely with the broader team, you will ensure the seamless delivery of services by managing HIPAA-compliant workflows, clinical scheduling, and mental health outreach to optimize departmental efficiency.
Responsibilities
- Serve as the primary, compassionate point of contact for the program, ensuring a welcoming and affirming entry point for all clients.
- Manage complex clinical calendars and electronic health records, resolving scheduling conflicts and maintaining secure documentation.
- Screen and triage confidential inquiries via phone and email to coordinate services and address emergent concerns.
- Facilitate crisis response and resource navigation by connecting individuals to appropriate internal and external support services.
- Support program operations through data tracking, report preparation, and the development of promotional materials and presentations.
- Provide administrative leadership for committees by managing agendas, minutes, and follow-up activities.
- Collaborate with communications teams on website maintenance and represent the office in various task forces or workgroups.
- Oversee daily office functions, including supply procurement, invoice reconciliation, and facility coordination.
Required Qualifications
- Associate's degree or equivalent combination of education, certification, and experience.
- Minimum of four years of administrative experience in highly regulated or compliance-driven environments, or a related role requiring managing sensitive information, navigating complex stakeholder relationships, and maintaining rigorous attention to detail.
- Experience working in a dynamic, diverse, and fast-paced environment.
- Experience screening, triaging, and routing of confidential information relevant to prioritizing the needs of clients, including managing scheduling.
- Established computing skills, such as Microsoft Office 365, Google suite, Dropbox, design tools (e.g., Adobe, Canva), and project management tools (e.g., Asana).
Modes of Work
Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.
Work Locations
Will require travel to multiple locations on & off campus. Hybrid work may be allowed; hybrid work arrangements are reviewed annually and may be subject to change based on business needs.
