About the Role

We are looking for an experienced HR Generalist to run day-to-day HR operations for a team of about 100 employees, reporting to the Vice President of Campus Operations. You will own payroll, onboarding, benefits, compliance filings and employee records, with a special focus on the faculty documentation our licensure and accreditation require. This is a hands-on role for someone who is organized, detail-driven and comfortable working independently.

Responsibilities

Payroll

• Process payroll through Vensure, including review, approvals and corrections

• Maintain accurate employee and pay data, including full-time and part-time classification

• Process new hires, terminations, pay changes and faculty contract payments

• Reconcile payroll with Finance and support payroll tax and year-end reporting

Onboarding and E-Verify

• Run onboarding for staff and part-time faculty in Vensure, including I-9, W-4 and state forms

• Complete Form I-9 and create E-Verify cases within required timelines

• Resolve case issues, keep records audit-ready and maintain E-Verify program compliance

Benefits and Leave

• Administer health benefits with our broker and carrier, including enrollment, changes, terminations and renewals

• Reconcile carrier invoices to payroll deductions

• Administer COBRA notices and elections

• Manage PTO accruals and leave requests, including FMLA where applicable

ACA and Regulatory Filings

• Track hours, full-time status and offers of coverage for ACA purposes

• Prepare data for Forms 1094-C and 1095-C and coordinate filing and distribution by deadline

• Maintain required postings and federal and Florida employment filings

Employee and Faculty Files

• Maintain complete personnel files for all employees and adjunct faculty

• Collect and verify official transcripts, including foreign credential evaluations

• Track licenses, certifications and annual continuing education requirements, with expiration follow-up

• Conduct regular file audits and produce records for accreditors and regulators on request

Policies and Employee Relations

• Maintain and update the Employee Handbook and Faculty Handbook, and collect signed acknowledgments

• Prepare offer letters and job postings and support the hiring process

• Serve as a confidential, neutral point of contact for employee questions and concerns

Qualifications

• 3 to 5 years of HR generalist experience, including payroll and benefits administration

• Working knowledge of I-9 and E-Verify, ACA reporting, COBRA, FMLA and Florida employment requirements

• Experience with a payroll or HRIS platform (Vensure or comparable)

• Strong organization, accuracy and documentation habits

• Excellent written and verbal communication, and the ability to handle confidential information

• Experience in higher education, accreditation or licensure record-keeping strongly preferred

• PHR, SPHR, SHRM-CP, SHRM-SCP or equivalent certification preferred

• Bilingual (English/Spanish) a plus

Pay: $65,000.00 - $75,000.00 per year
