INTRODUCTION
Konami Gaming is looking for an HR Specialist to join our team!
The HR Specialist is responsible for supporting core HR operations, including background check administration, offer letter preparation, HRIS data management, immigration tracking, and compensation-related support. This role also manages key aspects of the employee lifecycle such as pre-employment processing and onboarding, while serving as the primary backup to the front desk to ensure seamless daily operations.
This position is responsible for supporting data integrity, records management, and reporting needs of the organization to ensure that all employee information is processed and maintained accurately, timely, and confidentially.
This position also requires the flexibility to act autonomously at all times while adhering to overall department and company policies and procedures.
ROLE AND RESPONSIBILITIES
What you'll be doing:
- Responsible for maintaining personnel and confidential records according to government regulations and to ensure confidentiality.
- Establishes, maintains, and manages departmental filing system. Ensures efficient filing, retention, and destruction of all human resource paperwork in adherence with agreed upon retention schedules.
- Interfaces with payroll to ensure all required information is relayed timely and processed accordingly.
- Day-to-day administrator for HR portals.
- Provides data for regular and ad hoc reporting requirements.
- Maintains current employee information in all systems.
- Understands reporting needs and ensures data integrity to support timely and accurate reporting.
- Maintains current Job Description database.
- Works on special projects to represent the HRIS function.
- Identifies and resolves HRIS system issues, and monitors to satisfactory resolution.
- Serves as HR SharePoint administrator supporting HR portals and liaising with IT as needed.
- Identifies and recommends system and process improvements.
- Create spreadsheets to manage bonus and compensation administration under the oversight of Sr. HR Manager.
- Responsible for the administration of the pre-employment process including drug testing, background checks, employment verification and references, coordination with compliance, and distribution of pre-employment materials.
- Orientation coordination, and new hire check-ins.
- Administers the employee new hire and termination processes including lifecycle distribution and completion of legally required documents.
- Maintains confidentiality regarding the company, products and employee information with professionalism and discretion.
- Assists HR management with the coordination of various projects as assigned handling all tasks in a professional and timely manner.
- Coordinate and support company events and employee engagement activities.
- Manage immigration tracking and support employment-based processes, including preparing and maintaining interview matrices for green card cases.
- Serve as primary backup to the front desk, including full coverage during absences and daily coverage during lunch periods.
- Complies with the company’s regulatory guidelines and corporate policies at all times.
- Must be able to obtain and retain gaming licensure.
- Collaborate with the HR team in formulating and implementing human resources policy and practices, developing and automating best-in-class business processes, and serving as a business/employee advocate.
- Maintains current knowledge and understanding of state and federal employment regulations.
- Maintains compliance with federal and state employment regulations. Support accountability for timely employee lifecycle administration and system updates.
- Perform secondary support with office filing, auditing and general administrative support including letter preparation.
- Responsible for recommending workflow process scoping and documentation for departmental efficiencies.
- Performs other related duties as assigned.
BASIC QUALIFICATIONS
What we'll want you to have:
- Associate’s degree or higher, preferred in Human Resources, Business Management, Finance, Communications, or related field, or equivalent combination of education and experience.
- Three or more years of human resources experience in a professional environment.
- Ability to communicate professionally and efficiently, both verbal and written with all levels of the business.
- Must be able to obtain and maintain Gaming licensure(s).
- Excellent computer skills; advanced Word, Excel, and PowerPoint.
- Knowledge of laws governing Human Resources.
- HR certification a plus.
PREFERRED QUALIFICATIONS
Work Environment
- Full-time / 40+ hours per week. Must be flexible to work overtime, including nights, weekends, and holidays as required.
- Must be comfortable working in an area with limited working space for long hours with the ability to remain seated at computer terminal for extended periods of time. Extreme repetitive motion using keyboard, mouse, and telephone. Must be able to work at assigned location to enable direct communications and interactions with team members, management, and others as necessary, unless traveling for a business-related purpose.
- Ability to work effectively and efficiently in a high-stress, fast-paced, and high-pressure environment while maintaining high standards of accuracy, paying attention to detail, and meeting assigned deadlines. Demonstrates high integrity, trust, and strict confidentiality. Ability to maintain excellent communication and a positive, respectful, and professional attitude and relationship with clients, employees, peers, co-workers, all levels of management, and all outside organizations conducting business or otherwise interacting with the company. Ability to always act autonomously while adhering to overall department and company policies and procedures.
- Business Casual with occasional professional dress as required.
- Position shall work primarily in a smoke free office environment. The noise level is low to moderate. Position shall maintain a cubicle or office in close proximity to other cubicles and offices.
