Position Summary:
The HR Operations Specialist supports the day-to-day operations of the Human Resources department, including payroll, benefits, leave administration, workers' compensation, employee records, HRIS administration, and employee support.
This is a hands-on role for someone who is organized, responsive, detail-oriented, and comfortable managing multiple deadlines. The HR Operations Specialist works closely with the HR Director to ensure employee information is accurate, recurring HR responsibilities are completed in a timely manner, and employees and leaders receive consistent HR support.
What you'll do:
Payroll & HRIS
- Support bi-weekly payroll processing, including reviewing timecards, PTO, unpaid time, and other payroll items.
- Maintain the payroll log throughout each payroll cycle.
- Complete new hire onboarding.
- Initiate workflows to process employee changes, including terminations, transfers, compensation changes, supervisor changes, and cost-center changes.
- Maintain accurate employee information in Paylocity.
- Maintain accurate PTO balances and complete scheduled PTO updates.
- Assist with HRIS audits and data cleanup.
Benefits & 401(k)
- Process benefit enrollments, changes, and terminations.
- Assist employees with routine benefit and 401(k) questions.
- Maintain accurate benefit records in Paylocity and carrier systems.
- Support Open Enrollment administration and employee communications.
Leave of Absence & Workers' Compensation
- Coordinate day-to-day administration of FMLA and other leaves of absence.
- Maintain accurate LOA files, documentation, correspondence, and tracking.
- Follow up with employees and managers regarding required leave documentation and return-to-work information.
- Report workers' compensation claims and maintain complete WC files and tracking.
- Follow up on open claims and required documentation.
- Escalate complex leave, accommodation, or WC matters to the HR Director.
HR Operations
- Maintain accurate employee records and personnel files.
- Process termination documentation and required notices.
- Process PINs and create the monthly Birthday and Anniversary Calendar.
- Coordinate HR notifications to IT, Accounting, and other departments.
- Prepare exit letters and other routine employee correspondence.
- Monitor the HR inbox and respond to routine employee and manager requests.
- Assist with HR compliance audits and recordkeeping.
- Support Trainual administration, including employee assignments, reporting, and completion tracking.
- Assist the HR Director with HR projects and other department initiatives.
What it takes to succeed:
- Payroll support is accurate, organized, and completed by established deadlines, with the payroll log maintained throughout each payroll cycle.
- New hire onboarding is completed accurately and timely, ensuring employees are ready for their first day.
- Employee change workflows are initiated accurately and promptly, with complete information and supporting documentation for HR Director review and completion.
- Employee information, PTO balances, benefit records, and personnel files are accurate and current.
- Leave of Absence and Workers' Compensation cases are actively managed, with complete files, current tracking, timely follow-up, and appropriate escalation when needed.
- Termination documentation, exit letters, departmental notifications, PINs, and monthly birthday and anniversary calendars are completed by established deadlines.
- The HR inbox is consistently monitored, and employees and leaders receive timely responses and follow-through.
- Recurring responsibilities are tracked and completed without repeated reminders.
- Errors, missing information, and potential compliance issues are identified and brought to the HR Director's attention promptly.
- The HR Director can rely on the Specialist to independently manage assigned day-to-day HR responsibilities while escalating matters that require additional review or decision-making.
Qualifications
- 2–4 years of Human Resources experience, preferably in an HR Generalist or HR Operations role.
- Hands-on payroll and benefits administration experience preferred.
- Experience with HRIS/payroll systems required; Paylocity experience preferred.
- Exposure to FMLA/leave administration and workers' compensation preferred.
- Working knowledge of federal and state employment requirements.
- Experience supporting a multi-state or multi-location workforce is a plus.
- Strong attention to detail, organization, follow-through, and time management.
- Ability to handle confidential employee information appropriately.
- Strong written and verbal communication skills.
- Comfortable working independently while knowing when to escalate issues.
