Position Summary
The Program Coordinator for the Center for Adult and Continuing Education (CACE) provides administrative, operational, and programmatic support for Huston-Tillotson University's Adult Degree Program (ADP), HT Online, Continuing Education initiatives, and the HT-California initiative. This position plays a critical role in ensuring the effective coordination of academic programming, instructor assignments, student support processes, and day-to-day operations.
The ideal candidate is highly organized, detail-oriented, collaborative, and committed to supporting adult learners. The Program Coordinator must be able to manage multiple priorities, communicate effectively with faculty, students, staff, and external partners, and contribute positively to a fast-paced, team-oriented environment.
TASKS & RESPONSIBILITIES
Academic Program Coordination
- Coordinate instructor assignments and maintain faculty scheduling records for ADP, HT Online, and Continuing Education courses.
- Assist with course scheduling, section creation, and semester planning activities.
- Support faculty onboarding, communications, and instructional resource distribution.
- Coordinate the collection and organization of course syllabi, instructional materials, and program documentation.
- Monitor program calendars and ensure key academic deadlines are communicated and met.
- Support student retention efforts through proactive communication and coordination with university departments.
- Assist with orientation, information sessions, and special events for ADP and HT Online students.
Continuing Education Support
- Assist with the development, implementation, and administration of continuing education programs and workforce development initiatives.
- Coordinate participant registration, instructor logistics, and program communications.
- Maintain records and reports related to continuing education offerings.
- Support partnerships with community organizations, employers, and external stakeholders.
HT-California Administrative Support
- Provide administrative support for HT-California operations and program implementation.
- Coordinate communications with stakeholders.
- Assist with maintaining records, compliance documentation, and operational processes related to the instructional site.
- Support scheduling, event planning, and logistical coordination for HT-California activities.
Administrative and Operational Responsibilities
- Prepare reports, correspondence, meeting agendas, and program documentation.
- Maintain accurate student, faculty, and program records.
- Assist with data collection and reporting for institutional effectiveness, accreditation, and regulatory compliance purposes.
- Coordinate meetings and maintain departmental calendars.
- Support budget tracking, purchasing, and other administrative processes as assigned.
- Provide administrative support to the CACE Director and perform additional duties as assigned to support the mission and goals of CACE.
BASIC QUALIFICATIONS
- Bachelor's degree from an accredited institution.
- Minimum of two years of experience in program coordination or administrative support.
- Strong organizational and project management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Demonstrated ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office Suite and virtual collaboration platforms.
- Ability to work independently while contributing effectively as a team member.
PREFERRED QUALIFICATIONS
- Experience supporting adult learners, online education, or continuing education programs.
- Familiarity with student information systems, learning management systems, and higher education administrative processes.

SALARY RANGE
- $55,000 annually, plus benefits!
POSITION STATUS
- Full-time; in-person.
- Occasional evening or weekend work may be required to support events, student activities, or program operations.
