Position Overview
The Project Coordinator plays a critical role in supporting construction-related projects from initial order through final shipment. This in-office position requires exceptional organization, communication, and follow-through. You’ll serve as the central point of contact between internal teams, distributors, engineers, and end customers to ensure projects move smoothly and efficiently.
Principal Duties & Responsibilities:
Project Management & Coordination
- Oversee 40–80 concurrent projects, maintaining accurate and up-to-date information for each.
- Track project milestones, lead times, and required documentation from start to finish.
- Prepare and maintain project schedules, updating stakeholders proactively.
- Forecast project timelines and revenue expectations on a monthly basis.
Communication & Customer Support
- Serve as the primary liaison for distributors, owners, and internal teams.
- Respond quickly to emails and phone calls to maintain project momentum.
- Send submittals, request engineered drawings, and coordinate shop drawing approvals.
- Assist customers with general installation questions and troubleshooting (non-technical guidance only).
Documentation & Order Management
- Review orders upon creation to ensure accuracy and completeness.
- Verify all project details prior to shipment, including materials, quantities, and delivery requirements.
- Maintain organized digital records for all project documents, correspondence, and approvals.
Logistics & Scheduling
- Request and track shipments, ensuring alignment with project timelines.
- Monitor engineering, manufacturing, and shipping lead times, escalating delays when necessary.
- Coordinate with internal departments to resolve issues that may impact delivery or project success.
Cross-Functional Collaboration
- Work closely with engineering teams, understanding their workflows and communication styles.
- Collaborate with contractors and field personnel, adapting communication to different personalities and technical backgrounds.
- Support the inside sales team with project updates, documentation, and customer follow-up.
- Other duties as assigned.
Qualifications, Required Knowledge, Skills, & Abilities
- Bachelor’s degree
- Experience in project coordination, construction administration, or a related field preferred
- Strong organizational skills with the ability to manage high project volume
- Excellent written and verbal communication
- Ability to multitask in a fast-paced environment
- Proficiency with project tracking tools, spreadsheets, and standard office software
- Comfortable working with technical documents such as drawings and submittals
- Professional, proactive, and detail-oriented
Working Conditions: While performing the duties of this Job, the employee is regularly required to sit and use hands to handle or feel. The employee is frequently required to talk or hear. The employee is occasionally required to stand, walk and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision.
Position Location: Position is onsite Monday – Friday
Compensation: Compensation for this position will be commensurate with the candidate's experience and qualifications, aligning with industry standards. The salary range for Dallas, TX is also based upon geographical market standards for the industry and position in those areas.
