Position Overview:
The Project Coordinator plays a vital role in supporting the successful execution of construction projects from inception to completion. This position involves coordinating various project activities, managing documentation, and ensuring effective communication between all stakeholders, including project managers, subcontractors, suppliers, and clients. The ideal candidate is highly organized, detail-oriented, and able to multitask in a fast-paced environment.
Key Responsibilities:
- Project Support:
- Assist Project Managers with planning, scheduling, and coordinating construction activities.
- Maintain and update project schedules, tracking milestones, deadlines, and deliverables.
- Coordinate the delivery of materials, equipment, and resources to job sites, ensuring timely availability.
- Documentation Management:
- Prepare and manage project documentation, including contracts, permits, RFIs (Requests for Information), submittals, change orders, and meeting minutes.
- Ensure all documentation is properly filed, organized, and accessible to team members.
- Track and manage project-related paperwork, ensuring compliance with company policies and regulatory requirements.
- Communication and Coordination:
- Serve as a point of contact between project managers, subcontractors, suppliers, and clients, facilitating clear and timely communication.
- Coordinate and attend project meetings, preparing agendas and recording meeting minutes.
- Assist in resolving any issues or conflicts that arise during the course of the project.
- Financial Management Support:
- Assist with budgeting and cost tracking, including monitoring expenses and reconciling invoices.
- Support the preparation of project financial reports and billing documentation.
- Track and manage project-related expenditures, ensuring alignment with budgets.
- Quality Control and Safety Compliance:
- Assist in monitoring construction activities to ensure they meet quality standards and project specifications.
- Support the implementation of safety protocols on job sites, ensuring compliance with OSHA and company safety policies.
- Participate in site inspections and audits to verify compliance with plans and regulations.
- Vendor and Subcontractor Coordination:
- Manage relationships with subcontractors and suppliers.
- Track subcontractor performance and ensure adherence to project timelines and quality standards.
- Process subcontractor agreements, purchase orders, and other contract-related documentation.
- Reporting and Progress Tracking:
- Generate and distribute regular project status reports, highlighting key metrics, progress, and potential issues.
- Assist in tracking project performance, identifying areas for improvement, and implementing corrective actions as needed.
- Provide administrative support to project managers and other team members as required.
Qualifications:
- Experience:
- Minimum of 2-3 years of experience in a project coordination or administrative role within the construction industry.
- Familiarity with construction processes, terminology, and documentation.
- Skills:
- Strong organizational and time management skills, with the ability to handle multiple tasks and priorities.
- Excellent communication and interpersonal skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software (e.g., Procore, MS Project).
- Attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team in a fast-paced environment.
Job Type: Full-time
Pay: $52,000.00 - $58,000.00 per year
