Job Summary
We are seeking a dynamic and highly organized Property Management & Accounting Administrative Specialist to join our team! In this vital role, you will serve as the backbone of our property management operations, providing exceptional administrative and accounting support to ensure smooth daily functions. Duties
- Prepare and process leases, lease renewals, property management agreements, move-in documents, and tenant correspondence
- Data entry into websites and software programs
- Process invoices, water bills, certifications, and related documentation
- Maintain insurance records, key inventories, reports, and tracking spreadsheets
- Upload inspection reports and supporting documentation
- Prepare late notices, non-renewal notices, balance-due letters, move-out acknowledgements, and other correspondence
- Maintain reports and spreadsheets
- Provide administrative support to Property Managers
- Maintain organized electronic and physical files
- Provide accounting support: processing closings, billing
- Courier documents and materials between company offices using a company vehicle
- Provide backup front-desk administrative support when needed
Qualifications
- Proven experience in office management or administrative roles within property management or real estate environments and accounting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading
- Exceptional communication skills—both verbal and written—with a focus on client communication and customer support
- Ability to handle confidential information discreetly and professionally
- Previous experience with multi-line phone systems, front desk operations, clerical tasks, and calendar management is highly desirable
- Demonstrated time management skills with the ability to prioritize tasks efficiently in a fast-paced setting
