Job Summary:
The Senior Purchasing and Scientific Services Specialist provides critical operational support to the onsite scientific stockroom and receiving teams to ensure the timely delivery of laboratory consumables, non-capital materials, and equipment. This role focuses on posting accurate goods receipts, resolving order fulfillment issues, and reconciling multi-party invoice discrepancies to ensure timely supplier payments. The ideal candidate acts as a key liaison between internal business partners, corporate disbursements, and external suppliers to drive continuous process improvements.
Key Responsibilities:
- Support the onsite scientific stockroom one-stop solution for consumables, materials, and supplies by driving order fulfillment, customer complaint handling, and inventory reviews.
- Update ERP and procurement systems to appropriately post the receipt of goods and close out open transactions.
- Act as a primary liaison between internal business units and external suppliers to resolve order issues including damaged materials, short shipments, and returns.
- Track outstanding purchase orders and follow up with customers and suppliers to ensure execution of the close-out process.
- Investigate and resolve invoice matching issues by partnering closely with Purchasing, Accounts Payable, and the Corporate Disbursement Office.
- Perform system troubleshooting, coordinate corrective actions, and train team members on inventory management systems and corporate purchasing applications.
- Identify ongoing process improvements to optimize transaction accuracy, product delivery workflows, and supplier payment cycles.
- Build strong relationships with key suppliers by understanding their business processes, delivery logistics, and service objectives.
Required Qualifications:
- High School diploma or equivalent with a minimum of 4 years of relevant experience, or an Associate degree with 3 years of relevant experience, or a Bachelor degree with a minimum of 2 years of relevant experience.
- Minimum of 2 years of experience directly working with procurement, enterprise resource planning, or corporate payment systems.
- Solid fundamental understanding of end-to-end purchasing, 3-way matching, and corporate disbursement processes.
- Proven technical proficiency with Microsoft Excel and the capacity to adapt quickly to proprietary software platforms.
- Strong analytical, critical thinking, and problem-solving skills with an exceptional attention to operational detail.
- Excellent verbal and written communication skills paired with professional customer service capabilities.
- Demonstrated ability to execute complex tasks with minimal supervision while managing competing project priorities.
Preferred Qualifications:
- Hands-on proficiency utilizing SAP-SRM modules for goods receipt postings and order tracking. Experience managing inventory control or order fulfillment operations within a scientific, laboratory, or manufacturing stockroom environment.
