We are seeking a highly organized and proactive Administrative Assistant (Real Estate Operations) to support our property management and asset management activities. This role involves general office administration, scheduling, communication with vendors, expense processing, and assisting with real estate operations.
Fluency in Japanese (reading and writing business documents/emails) and working proficiency in English are required.

Key Responsibilities

• Manage office documents, supplies, and mail
• Schedule meetings, maintain calendars, and support internal communications
• Liaise with property management companies and vendors
• Perform data entry, basic accounting support, and expense reimbursements
• Assist with property records, lease renewals, and insurance updates
• Support market research and reporting related to real estate

Additional Responsibilities (for experienced candidates)

• Property tax payment and protest coordination
• Contract and template management
• Tracking repair requests and approvals for asset management
• Preparing internal manuals and process documentation

Language Requirements

• Must be fluent in Japanese (reading and writing business emails/documents)
• Must have at least working proficiency in English for daily communication

Preferred Qualifications
- Experience in property management or real estate operations
- Advanced Excel skills (Pivot tables, Macros)
- Knowledge of U.S. property tax and contract administration

Job Types: Full-time, Part-time

Base Pay: $19.00 - $24.00 per hour
