Position Overview
We are looking for a Marketing Operations Coordinator who will manage internal marketing administration and act as the primary liaison with our outsourced marketing agency/team. You will ensure that all external campaigns (digital, events, partnerships) are executed effectively, aligned with our brand, and drive measurable patient growth. The ideal candidate brings proven marketing experience in the healthcare sector, a network of established industry resources (referring physicians, OB/GYN practices, fertility advocacy groups, patient communities, insurance brokers, etc.), and strong project management / cross-functional leadership skills.
Key Responsibilities
- External Agency Liaison – Serve as the single point of contact for our external marketing partners; coordinate all digital marketing (SEO/SEM, social media, content, email), traditional advertising, and community outreach campaigns from brief to performance review.
- Internal Administrative Coordination – Manage marketing budgets, contract approvals, vendor invoices, data reporting, and compliance documentation (including HIPAA-compliant data handling). Ensure smooth internal workflows.
- Channel & Resource Development – Cultivate and expand relationships with referring OB/GYNs, reproductive endocrinologists, primary care networks, women’s health clinics, corporate wellness programs, and patient advocacy groups to drive referrals and co-marketing opportunities.
- Data-Driven Optimization – Track and analyze campaign KPIs (patient acquisition cost, conversion rates, source attribution, ROI). Provide regular dashboards and actionable insights to leadership to refine marketing strategies.
- Cross-Functional Collaboration – Work closely with clinical, nursing, finance, and patient experience teams to ensure marketing messaging aligns with clinical capabilities and that new patient inquiries are smoothly integrated into the patient journey.
Qualifications
- Education: Bachelor’s degree in Marketing, Business, Healthcare Administration, Communications, or a related field.
- Experience: Minimum 5 years of marketing, business development, or operations experience in the healthcare industry, preferably in fertility, reproductive health, obstetrics/gynecology, or high-end specialty medicine.
- Industry Resources: Demonstrated existing relationships with local referring providers, community partners, or patient channels that can be leveraged immediately.
- Management Skills: Proven ability to manage multi-stakeholder projects, oversee external vendors, and coordinate internal teams without direct authority – strong organizational and time-management abilities are essential.
- Technical Skills: Hands-on experience with digital marketing tools (Google Ads, Meta Ads, SEO platforms), CRM/patient engagement systems (e.g., Salesforce Health Cloud, Zoho, or similar), and analytics (Google Analytics, Looker Studio, Excel/PPT). Familiarity with marketing automation is a plus.
- Communication: Exceptional written and verbal English; ability to clearly articulate strategy to executives, clinicians, and external partners. Spanish or Mandarin/Cantonese is a bonus but not required.
- Professionalism: High attention to detail, integrity, and the ability to maintain confidentiality in a medical environment (HIPAA compliance).
- Legal authorization to work in the U.S. without sponsorship.
