Sales & Marketing Specialist (Treatment Coordinator Focus)

Schedule: 30-35 hours per week, potential for full-time 40 hours per week.

Position Overview
Ashburn Orthodontics is seeking a personable, energetic, and results-driven Sales & Marketing Specialist to help grow the practice through exceptional patient experiences, treatment plan acceptance, community engagement, and referral development.
This position combines treatment coordination, patient relationship management, sales, and marketing. The ideal candidate enjoys building relationships, communicating value, overcoming objections, and helping patients and families confidently move forward with orthodontic treatment.
This is not simply an administrative role. It is a growth-focused position that directly impacts patient satisfaction, treatment acceptance, referral generation, and practice success.
Key Responsibilities
Patient Consultation & Sales
- Serve as the primary point of contact for prospective patients throughout the new patient process.
- Answer new patient inquiries and schedule consultations.
- Welcome and guide patients and families through their initial visits.
- Collect required paperwork and patient information.
- Take diagnostic records, including photos, x-rays, and intraoral scans.
- Prepare consultation summaries and highlights for the doctor.
- Assist during patient consultations and document treatment recommendations.
- Present treatment plans, fees, insurance information, and financing options clearly and confidently.
- Address questions and concerns while helping patients make informed treatment decisions.
- Follow up with pending patients to encourage treatment acceptance and treatment starts.
- Build trust and rapport with patients and parents throughout the decision-making process.
- Schedule appointments and maintain recall systems.
- Track consultation outcomes and treatment acceptance metrics.
- Consistently work toward monthly treatment start and production goals.
Insurance & Financial Coordination
- Verify insurance benefits and coverage.
- Submit and manage insurance claims.
- Monitor insurance accounts and follow up on outstanding claims.
- Post insurance and patient payments accurately.
- Establish payment plans and automatic payment arrangements.
- Communicate patient financial responsibilities professionally and compassionately.
- Follow up on outstanding balances and delinquent accounts.
Marketing & Patient Growth
- Develop and implement internal marketing initiatives, including referral programs, patient rewards, contests, and appreciation events.
- Support online reputation management by encouraging patient reviews and engagement.
- Assist with social media content, patient testimonials, website updates, and digital marketing efforts.
- Support SEO, online visibility, and practice branding initiatives.
- Coordinate patient communication campaigns and promotional activities.
Community Outreach & Business Development
- Build relationships with referring dentists, pediatricians, schools, and community organizations.
- Represent the practice at local events, health fairs, sponsorships, networking events, and school programs.
- Develop partnerships that increase community awareness and generate referrals.
- Serve as a positive ambassador for Ashburn Orthodontics both inside and outside the practice.
Qualifications
Required
- Minimum of 2 years of experience in sales, treatment coordination, patient consulting, customer service, account management, or customer relationship management.
- Strong communication, presentation, negotiation, and relationship-building skills.
- Ability to confidently discuss treatment recommendations, fees, and financing options.
- Excellent organizational skills and attention to detail.
- Strong follow-through and ability to manage multiple priorities.
- Comfortable working toward measurable goals and performance objectives.
Preferred
- Orthodontic, dental, medical, or healthcare experience.
- Experience presenting treatment plans and financial arrangements.
- Marketing, community outreach, business development, or referral generation experience.
- Knowledge of orthodontic practice management software and CRM systems.
- Experience with social media marketing and online reputation management.
Schedule
Office Hours:
- Monday: 10:00 AM – 2:00 PM
- Tuesday: 9:00 AM – 6:00 PM
- Wednesday: 7:30 AM – 3:00 PM
- Thursday: 10:00 AM – 7:00 PM
- Friday: 8:30 AM – 2:00 PM
- First Saturday of each month: 8:00 AM – 2:00 PM
Occasional evening or weekend attendance may be required for community outreach, marketing events, sponsorships, and practice promotions.
