We are looking for an energetic, polished, highly organized Guest Experience & Clinical Support Specialist to join our growing medical aesthetics practice.
This is not a traditional front-desk position. You’ll play an important role in the day-to-day experience of our patients and providers, helping ensure the practice runs smoothly, patients feel genuinely taken care of, and our clinical team has everything they need to deliver an exceptional experience.
Responsibilities:
- Greet and welcome clients with warmth and professionalism.
- Assist clients in completing necessary paperwork and ensure all required information is obtained.
- Schedule and manage client appointments efficiently, utilizing our spa management software.
- Answer phone calls and respond to inquiries in a timely and courteous manner.
- Provide information about our services, products, and promotions.
- Maintain a clean and organized front desk area.
- Collaborate with the spa team to ensure a seamless and enjoyable experience for clients.
- Handle client concerns and issues with tact and diplomacy, escalating when necessary.
- Help assist with social media content such as before/afters, IG Reels, Tik Tik, etc.
Clinical & Provider Support
- Support providers with room turnover and preparation as needed
- Make sure treatment rooms and providers have the appropriate supplies
- Assist with basic medical-assistant responsibilities within your training and permitted scope
- Monitor supplies and inventory at the location and communicate replenishment needs
- Help keep clinical and common areas organized and operating efficiently
Practice Support
- Help keep the day's schedule running smoothly
- Identify openings in the schedule and assist with patient outreach when needed
- Support practice initiatives, promotions, and patient follow-up
- Communicate effectively with providers, leadership, and other team members
- Be someone the team can rely on when something needs attention
Qualifications:
- Previous experience in a customer service or hospitality role required!
- Strong communication and interpersonal skills.
- Detail-oriented with excellent organizational abilities.
- Ability to multitask and work in a fast-paced environment.
- Knowledge of spa and wellness services is a huge plus.
- Familiarity with spa management software is an advantage.
- Spanish proficiency is preferred.
- Medical Assistant Certificate is preferred.
Experience in medical aesthetics, dermatology, plastic surgery, hospitality, luxury retail, or another high-touch customer experience environment is a plus.
Schedule
Full time/Part time. Saturday availability is required.
Salary:
- Competitive hourly pay ranging from $18 to $23, based on experience.
