Lease Administrator

Job Summary

We are seeking a detail-oriented Lease Administrator with strong Yardi experience and a background in commercial real estate lease administration and recovery accounting. This role is responsible for interpreting and abstracting lease documents, maintaining accurate lease data, ensuring proper tenant billing, and supporting year-end expense recovery reconciliations across a portfolio of properties. The ideal candidate has a solid understanding of commercial lease language, operating expense recoveries, and accounting processes, with the ability to collaborate effectively with property management, accounting, legal, leasing, and construction teams.

Key Responsibilities

- Review, abstract, and interpret commercial leases and related documents for accurate entry into the lease administration database.
- Maintain accurate lease terms and tenant information in Yardi to support monthly billing, CPI increases, collections, and other lease-related charges.
- Monitor critical lease dates, track contractual obligations, and resolve discrepancies in lease interpretation.
- Prepare, review, and reconcile year-end tenant expense recovery statements.
- Create and maintain recovery reconciliation files, incorporating updated lease data and verifying the accuracy of calculations.
- Collaborate with property accounting teams on budgeting, forecasting, and new tenant billing setup.
- Interpret and communicate lease recovery provisions to property management and accounting teams.
- Assist with tenant audits by researching discrepancies, maintaining supporting documentation, and preparing responses.
- Resolve tenant and landlord billing disputes in collaboration with internal teams.
- Maintain organized and accurate electronic and physical lease files.
- Ensure compliance with lease terms and internal procedures while meeting deadlines and maintaining data accuracy.

Qualifications

- Bachelor's degree in Accounting, Business Administration, or a related field, or an equivalent combination of education and experience.
- 3–5 years of relevant commercial real estate lease administration experience.
- Experience with cost recovery reconciliations, operating expense recoveries, and related accounting functions.
- Strong hands-on experience with Yardi is required.
- Experience with MRI is preferred.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Knowledge of commercial lease language, lease abstraction, tenant billing, and recovery accounting practices.
