POSITION OVERVIEW
Specialist I, Project is a high-impact, professional-level role requiring independent judgment and decision-making authority that blends administrative excellence with project coordination and stakeholder engagement. This position goes beyond traditional administrative support by actively driving execution, influencing outcomes, and managing cross-functional priorities across teams, enabling efficient execution of manufacturing and operational initiatives.
The ideal candidate is a multi-talented professional with strong organizational skills, project management capability, and the ability to influence and communicate effectively across diverse stakeholders. This role operates with a high degree of autonomy and accountability in a dynamic, fast-paced environment. Bilingual proficiency in English and Chinese is highly valued, though not required.
KEY RESPONSIBILITIES
Project Coordination & Execution
- Support planning, tracking, and execution of cross-functional projects within Manufacturing and related departments
- Coordinate timelines, deliverables, and resources to ensure projects stay on track
- Monitor progress, identify risks, and proactively drive follow-ups to ensure successful outcomes
- Independently assess project risks, recommend mitigation strategies, and escalate critical issues to leadership as needed
Cross-Functional Collaboration
- Act as a liaison across departments (e.g., Manufacturing, Supply Chain, Quality, Finance) to streamline communication and workflows
- Build strong working relationships and influence stakeholders to align on priorities and deliverables
- Facilitate information flow between internal teams and external partners
Administrative & Operational Support
- Manage complex calendars, meetings, and travel arrangements for leadership and project teams
- Prepare high-quality reports, presentations, and business documents
- Support day-to-day office and operational needs to ensure smooth execution
- Prioritize competing demands and independently determine appropriate course of action to support operational efficiency
Meeting & Communication Management
- Organize and lead coordination of meetings, including agenda preparation, documentation, and follow-up on action items
- Ensure clear, concise, and timely communication across all levels of the organization
- Support leadership communications and reporting needs
- Lead meeting facilitation and drive accountability for action items across departments
Data & Document Management
- Maintain accurate project documentation, dashboards, and tracking tools
- Manage records, databases, and reporting systems with high attention to detail
- Ensure accessibility and organization of critical documents
- Analyze data trends and provide actionable insights to support operational and project decisions
Continuous Improvement
- Identify opportunities to improve processes, workflows, and coordination efficiency
- Contribute to operational excellence initiatives within the Manufacturing function
- Recommend and help implement process improvements that impact cross-departmental efficiency and effectiveness

QUALIFICATIONS
Education
- Associate’s or Bachelor’s degree in Business Administration, Operations, Project Management, or a related field
Experience
- 2 years of experience in administration, project coordination, or operations support
- Experience in manufacturing, industrial, or renewable energy environments is a plus
- Demonstrated experience managing multiple priorities with minimal supervision in a cross-functional environment
