INTRODUCTION
This role will play a crucial part in ensuring the smooth daily operations of our Energy Department, providing vital administrative support and managing essential documentation. This position reports directly to the VP of Energy and works closely with the Assistant Manager and the IAS team of Energy drivers.
KEY RESPONSIBILITIES:
- Financial & Billing Support: Manage and code Cardtrol cards, assist with monthly payment plans, handle billing for service tickets, LP, and refined products, and reconcile LIHEAP payments and records.
- Documentation & Compliance: Create and file tank leases, file leak tests, work with PMMIC insurance for Cardtrol compliance, input and file contracts, organize yearly propane contracts, and manage yearly right-to-know propane letters.
- Data Management: Manage LP monitors in the Neevo website, maintain a monthly inventory spreadsheet, and add/edit information in Tank Master.
- Reporting & Analytics: Generate essential reports for drivers, including Degree Day listings, Contract Balances, and Account Balances.
- Administrative & Operational Support: Pull and bill Cardtrols, keep driver files up to date for efficient tracking, answer phones to relay calls, messages, and orders, match the bills of lading with invoices for commercial transport, and perform other duties as directed.
- Other clerical support as needed for the department.
KNOWLEDGE, SKILLS & ABILITIES
- An associate's degree in general studies and/or an associate's degree in accounting
- Proficiency in Microsoft Office programs, including Word and Excel.
- Outstanding verbal and written communication skills with the ability to articulate complex information clearly and concisely to diverse audiences, including senior leadership, internal teams, and external stakeholders.
PHYSICAL REQUIREMENTS/ENVIRONMENTAL ADAPTABILITY
- Requires static strength to lift, push, pull, or, on occasion, carry objects with a minimum weight of 50 pounds. Also, flexibility to bend, stretch, twist, or reach with your body, arms, and/or legs. Some tasks involve repetitive motion.
- Agricultural Environment – Possible exposure to seasonal weather, outdoor conditions, and agricultural products.
