Our Dassault Systemes SolidWorks Executive team is excited to announce we have an onsite internship opportunity available in our Waltham, MA office!
We are looking for a highly organized, dependable, and proactive Executive & Administrative Support Intern to provide day-to-day administrative support to our team and onsite Executive Assistants. The successful intern will become a dependable extension of the administrative team. They will take ownership of their assigned responsibilities, keep calendars and meeting details accurate, follow through on tasks without repeated reminders, and proactively communicate when issues arise.
Because this role directly supports the day-to-day operations of the team, reliability, accountability, attention to detail, and follow-through are essential.
The primary focus of this role will be calendar and meeting management using Microsoft Outlook. The successful candidate will coordinate meetings across multiple time zones and organizations, manage scheduling details, and help ensure calendars remain accurate, organized, and up to date.
This is an excellent opportunity for a student who is interested in gaining hands-on experience in executive support, business operations, and professional administration while working closely with experienced team members.
ROLE AND RESPONSIBILITIES
Calendar & Meeting Management
- Manage daily calendars and meeting schedules using Microsoft Outlook.
- Schedule, reschedule, and coordinate meetings across multiple time zones, organizations, and stakeholders.
- Identify scheduling conflicts and work proactively to resolve them.
- Send meeting invitations, coordinate attendees, and ensure meeting details are accurate and complete.
- Maintain awareness of changing priorities and communicate scheduling updates as needed.
Travel & Event Coordination
- Assist with coordinating domestic and international business travel, including flights, hotels, and car rentals.
- Work with the company's dedicated CWT Travel Team to coordinate travel arrangements.
- Serve as a point of contact for administrative planning related to special projects, workshops, meetings, and team events.
- Assist with attendee lists, logistics, menus, and other event-related details.
Administrative Support
- Provide administrative support to onsite Executive Assistants and team members.
- Review and place group orders for meetings and events.
- Maintain and update attendee lists and other information using Microsoft Excel and Word.
- Edit and update presentations and meeting materials using Microsoft PowerPoint.
- Assist with other administrative projects and tasks as assigned.
BASIC QUALIFICATIONS
- Currently enrolled in an undergraduate or graduate degree program.
- Strong organizational skills and exceptional attention to detail.
- Comfortable working with Microsoft Outlook, Excel, Word, and PowerPoint, or demonstrated ability to learn new applications quickly.
- Ability to manage multiple tasks and competing priorities while meeting deadlines.
- Strong written and verbal communication skills.
- Demonstrated professionalism, dependability, and discretion.
- Ability to work independently and take ownership of assigned responsibilities.
- Willingness and ability to learn quickly with minimal day-to-day management.
- A proactive approach to identifying issues and following through to resolution.
- Ability to work effectively with individuals across different teams, organizations, and time zones.
