POSITION OVERVIEW:
The Payroll Specialist is responsible for the timely processing of the semi-monthly payroll of 1500+ employees for hourly and salaried employees of Vertex Education and Legacy Traditional Schools. This position will work with other internal departments and other Payroll team members to maintain payroll compliance with applicable laws, regulations and company policies. The Payroll Specialist will have working knowledge of time clock systems, voluntary payroll deductions, federal/state taxation, quarter/year-end processing which includes W2 and W2C processing.
ESSENTIAL FUNCTIONS:
- Process semi-monthly payroll for hourly and salaried employees.
- Maintain email inbox for Payroll and respond to inquiries promptly and courteously to inquiries from management and employees.
- Review and calculate pay for status changes, new hires, transfers and promotions.
- Calculate terminated employee final pay following the appropriate state laws and regulations.
- Review transaction entries and requests to ensure proper approvals are submitted and processed.
- Resolve issues or discrepancies with payroll data.
- Troubleshoot and problem-solve employee payroll issues or concerns.
- Make necessary entries or uploads to payroll data, which includes adjustments, incentives, additional hours, etc. after appropriate approvals and documentation is received.
- Run time clock reports for approvals and edit system if required.
- Maintain time keeping system employee changes and create data files for imports.
- Review and verify discrepancies and coordinate error resolution with internal departments.
- Prepare off-cycle payrolls and manual checks as needed.
- Provide payroll reports for HR, operations, accounting or other departments as requested.
- Manage paycheck and W2 distribution.
- Work on other tasks and special projects as assigned.
QUALIFICATION REQUIREMENTS:
Education, Certifications & Experience:
- 2+ years of recent payroll experience required.
- Prior experience with time and attendance system.
- Prior garnishment experience a plus.
- Excellent data entry skills with high attention to detail and accuracy.
- Prior experience in ADP Workforce Now a plus.
- Intermediate Excel skills.

BACKGROUND CHECKS:
- The incumbent in this position will be required to pass a criminal history background check.
- Must be able to obtain and hold a valid IVP Level One Fingerprint Clearance Card at all times.
Physical Requirements:
- Travel between campuses is required from time to time.
- This position requires the need to lift objects (up to 25 pounds) on occasion.
- This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping and long periods of concentration.
- Local and instate travel required.
