Summary of the Role: The Sales Assistant provides comprehensive administrative, operational, and client service support to the sales team, helping ensure the timely execution of sales activities and a high-quality client experience. This role is responsible for maintaining accurate records, supporting proposal and presentation development, coordinating schedules, and assisting with day-to-day sales operations. The Sales Assistant collaborates closely with cross-functional teams to support business development initiatives and strengthen client retention efforts.
Essential Duties and Responsibilities:
Sales Support & Coordination:
- Support the sales team in preparing presentations, proposals, quotes, and meeting materials.
- Maintain accurate and up-to-date CRM records, including client details and pipeline activity.
- Coordinate meetings, calls, and follow-up actions to ensure timely communication.
- Track proposal deadlines, RFP requirements, and other time-sensitive deliverables.
Client Service & Communication:
- Serve as a point of contact for client inquiries, ensuring timely and professional responses.
- Support client onboarding by preparing required documentation and coordinating internal hand-offs.
- Collect and organize client information and documentation for proposals, renewals, and ongoing support.
Administrative & Operational Support:
- Organize and maintain digital files, templates, and sales resources.
- Prepare and distribute regular sales activity reports and performance metrics.
- Coordinate logistics for sales meetings, client visits, and events.
- Assist with expense reporting and travel coordination as needed.
Cross-Functional Collaboration:
- Partner with Marketing to support campaigns, collateral, and sales initiatives.
- Collaborate with Operations, Finance, and Client Services to support sales and client needs.
- Participate in team meetings and contribute to process improvements and operational efficiencies.
Knowledge, Skills, and/or Abilities:
- Strong organizational skills.
- Excellent verbal and written communication.
- Ability to manage multiple priorities.
- Experience with CRM platforms preferred.
- Professional, proactive, and customer-focused mindset.
- Team-oriented and collaborative.
- Reliable, accountable, and deadline-driven.
- Professionalism with confidential information.

Education and/or Experience:
- High school diploma required; bachelor’s preferred.
- 1–3 years of administrative or sales support experience.
- Experience in professional services, insurance, or financial services is a plus.
