Document Control Specialist

Basic Job Function:

Role interfaces with Engineering, Project Management, Supply Chain, Quality, Manufacturing, external customers and suppliers. Responsible for supporting the successful and on-time transfer of information including data, documents, and models between these departments and parties as well as maintaining various systems for organizing these items.

Essential Functions:

• Provide support and administration of transmittal software; ensure system is populated with correct data in the established file structure; provide assistance to system users in locating information; and maintain security administration of the system.
• Maintain technical documentation for each project to include tracking, logging and maintaining all required documents and submittal records and to provide reports as needed or requested.
• Responsible for the development, implementation, and maintenance of Document Control procedures and delivering training to project team members and suppliers on company and customer tools.
• Manage project data management activities related to Engineering, Project Management, Supply Chain, Quality, Manufacturing, Customers and suppliers.
• Review contractual requirements with Project Managers and Project Engineers for data and document delivery prior to and after project award.
• Manage and coordinate document control and data management activities including all document submittals and transmittals on projects to and from Customers and Suppliers.
• Collect and assemble information for Operation & Maintenance Manuals and Quality Assurance Customer Record Books.
• Work directly with project teams to ensure timely resolution of data and document delivery issues.
• Provide oversight and assurance on processes and systems and ensure compliance with customer requirements, paying careful attention to interfaces between all stakeholders.
• Overall responsibility for data and document management resources, and schedule.
• Responsible for managing changes or deviations to approved processes and standards.
• Coordinate on a regular basis with IT Department to maintain current and accurate database information.

Required Skills:

• Advanced communication and organizational skills to assist multiple departments in managing business information, forms, documents, communications, and contracts.
• Strong database end user skills and ability to write and edit procedural documentation and understand contract project documentation.
• Advanced technical software skills to keep accurate and easily accessible records: MS Office, MS Outlook, Adobe Acrobat, document control database programs.

Education & Experience:

• Associate’s Degree preferred. Equivalent combination of professional experience and education will be considered.
• One to three years of previous related experience required. Three to five years of experience preferred. Experience with Document Control Software and Processes a plus.
