Club West Chiropractic is seeking an experienced, organized, and motivated Chiropractic Billing Specialist & Marketing Coordinator to join our team.
This position combines chiropractic insurance billing, revenue cycle management, marketing coordination, and general office support. We are looking for a dependable, detail-oriented individual who takes initiative, works independently, and helps keep our practice running efficiently.
Key Responsibilities
Insurance Billing & Revenue Cycle Management
- Run pre-insurance reports, verify patient accounts, and ensure accurate insurance setup.
- Perform daily service audits, correct charges, and verify CPT codes, diagnosis codes, and modifiers.
- Review clinical documentation for billing accuracy, medical necessity, and completeness. Coordinate necessary corrections with doctors and ensure records are signed and locked.
- Prepare, scrub, and transmit insurance claims through the clearinghouse; correct rejected claims and resubmit promptly.
- Post insurance payments, review and scrub ERAs, reconcile payments, and investigate discrepancies.
- Follow up on denied, rejected, and unpaid claims, including contacting insurance companies and managing accounts receivable.
- Upload personal injury documentation to Infinity and ensure records are complete.
- Prepare and audit monthly patient billing statements, correcting inaccurate balances before distribution.
- Run billing reports, monitor outstanding claims, and identify opportunities to improve collections.
Marketing & Practice Growth
- Coordinate with our marketing team to provide requested videos, photos, and promotional materials.
- Monitor Google Ads and Facebook advertising performance, identify underperforming campaigns, and recommend improvements.
- Maintain TikTok and assist with other social media content.
- Coordinate quarterly text promotions, email blasts, newsletters, and seasonal marketing campaigns.
- Organize internal marketing competitions, patient referral initiatives, and promotional activities.
- Maintain referral relationships and support new patient growth.
Office & Team Support
- Assist with phone calls, patient texting, online scheduling, and front desk coverage.
- Help room patients and support daily patient flow when needed.
- Assist doctors and the office manager with administrative and operational tasks.
- Help maintain an organized, efficient, and positive office environment.
Required Qualifications
- Minimum 1–2 years of hands-on chiropractic billing experience.
- Prior hands-on experience with Availity, Infinity, and ChiroTouch software is required.
- Knowledge of chiropractic CPT/ICD-10 coding, insurance billing, ERAs, denials, and documentation requirements.
- Strong organizational, communication, and problem-solving skills.
- Ability to multitask, prioritize responsibilities, and work independently.
- Comfortable coordinating marketing projects and using social media.
- Dependable, detail-oriented, and willing to help wherever needed.
