Casago Smoky Mountains is looking for a dependable, highly observant, proactive, and exceptionally detail-oriented Property Care Assistant to join our Property Operations team.
This is much more than simply checking in on vacation rental homes. The right person will have a genuine eye for detail, take pride in the appearance and condition of our properties, and understand the importance of creating a positive experience for both our guests and homeowners.
This role is a combination of property care, inspections, follow-up, organization, and homeowner communication.
If you are the type of person who walks into a room and immediately notices what is out of place, takes pride in doing things correctly, and can communicate professionally with homeowners, vendors, and team members, this may be the position for you.
About the Role
The Property Care Assistant is a hands-on position working closely with the Property Care Director to maintain and oversee a portfolio of short-term rental properties.
This person will spend time in the field visiting properties, conducting walkthroughs, completing property care tasks, assisting with inspections, following up on maintenance and housekeeping items, monitoring property readiness, and communicating with homeowners when appropriate.
The role requires someone who can work independently, stay organized, communicate professionally, and recognize problems before they become larger issues.
Most importantly, this position requires an exceptional eye for detail.
We need someone who doesn't simply walk through a property we need someone who truly looks at it.
Homeowner Communication
An important part of this position is maintaining a positive, professional, and helpful relationship with homeowners.
The Property Care Assistant may communicate directly with homeowners regarding routine property care, inspections, maintenance updates, inventory needs, property improvements, and follow-up items as directed by the Property Care Director.
Responsibilities may include:
- Providing homeowners with professional updates regarding their property.
- Communicating inspection findings and property-care observations.
- Providing updates on completed or outstanding items.
- Communicating maintenance or property concerns clearly and professionally.
- Sharing photographs and documentation when appropriate.
- Following up with homeowners regarding approved property-care or improvement items.
- Helping homeowners understand the condition and needs of their property.
- Maintaining a friendly, respectful, and solutions-oriented relationship with homeowners.
- Escalating sensitive, complex, financial, or higher-level concerns to the Property Care Director.

Property Care & Guest Readiness
You will help ensure our properties are ready for every guest arrival.
Responsibilities include:
- Complete assigned property care and readiness tasks.
- Conduct thorough property walkthroughs.
- Check supplies, amenities, furniture, décor, appliances, and guest-use items.
- Identify missing, damaged, worn, or out-of-place items.
- Check that rooms are properly presented and guest-ready.
- Assist with amenity restocking.
- Complete assigned punch-list items.
- Take detailed photographs of issues discovered.
- Report maintenance, cleanliness, inventory, and property-condition concerns.
- Follow up on previously identified issues.
- Assist with coordinating housekeeping and maintenance on-site when directed.
- Help ensure properties meet Casago Smoky Mountains' quality standards.
Your Eye for Detail Matters
This is one of the most important parts of the position.
You should be comfortable checking details such as:
- Are all light bulbs working?
- Are TVs, remotes, and electronics functioning?
- Are there enough towels, pillows, blankets, and linens?
- Are kitchen supplies and cookware complete?
- Are amenities clean, stocked, and functioning properly?
- Are furniture and décor in good condition and properly placed?
- Are there signs of damage or excessive wear?
- Are doors, cabinets, drawers, and handles functioning properly?
- Are there leaks, water spots, unusual smells, or potential maintenance concerns?
- Are outdoor areas presentable and guest-ready?
- Are safety concerns immediately reported?
- Does anything look different from the property's normal condition?
The expectation is that you will look for problems rather than wait for someone else to point them out.
Property Inspections
The Property Care Assistant will assist with and conduct property inspections as assigned.
Responsibilities include:
- Pre-arrival inspections.
- Post-maintenance inspections.
- Periodic quality inspections.
- Property condition walkthroughs.
- Documentation of findings.
- Photo documentation.
- Identifying unresolved issues.
- Following up on previously reported concerns.
- Communicating findings to the Property Care Director and/or homeowner as directed.
- Submitting inspection information promptly.
Ticketing & Documentation
Accurate documentation is extremely important in this position.
The Property Care Assistant will:
- Monitor the operations ticketing system daily.
- Document completed tasks.
- Enter accurate property information.
- Record the type of work completed.
- Document billable time correctly.
- Upload photographs when needed.
- Flag guest-impacting or overdue items immediately.
- Keep assigned property information current.
- Document homeowner communications and follow-up when appropriate.
- Communicate unresolved issues to the Property Care Director.
Attention to detail applies to documentation and communication just as much as it does to the properties themselves.

The Property Care Assistant works closely with the Property Care Director and the larger Casago Smoky Mountains team.
The Property Care Director provides direction, assignments, priorities, feedback, and performance accountability.
The Property Care Assistant is expected to:
