Responsibilities

• Respond promptly and courteously to customer inquiries via phone, email, and in person using multi-line phone systems and other communication tools
• Manage client accounts and update information accurately using data entry skills in spreadsheets and customer management software such as QuickBooks
• Provide front desk support by greeting visitors, handling incoming calls, and directing them appropriately with excellent phone etiquette
• Assist with office management tasks including filing, organizing documents, and maintaining office supplies to ensure smooth daily operations
• Support administrative functions such as calendar management, appointment scheduling, and document proofreading to uphold high standards of accuracy
• Collaborate with team members on client communication efforts, ensuring timely follow-up and resolution of issues
• Maintain a professional appearance and demeanor while demonstrating strong organizational skills and computer literacy across productivity software

Skills

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data entry and record keeping
• Experience with QuickBooks or similar accounting software for managing client accounts
• Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
• Strong verbal and written communication skills; bilingual abilities are a plus for serving diverse clients, Chinese knowledge is a plus.
• Knowledge of office management procedures including filing systems, calendar management, and clerical tasks
• Demonstrated computer literacy with technical proficiency in office productivity tools and data entry processes
• Exceptional customer service skills with a focus on positive client interactions and problem-solving capabilities
• Ability to handle multi-line phone systems efficiently while maintaining professionalism at all times
• Experience in front desk or administrative roles, including personal assistant or clerical experience preferred
