INTRODUCTION
The Administrative Coordinator supports the Office of Practice (OOP) and the Associate Dean for Practice, Innovative Partnerships, and Advocacy by managing the day-to-day administrative and operational functions of the OOP and College of Nursing (CON) clinical practice. This position serves as the first-line point of contact for CON practice providers and clinical partners for day-to-day operational needs and plays a central role in ensuring efficient, compliant, and well-coordinated practice operations.
This position also provides administrative and operational support to the Director of Global Palliative Care and ELNEC (End-of-Life Nursing Education Consortium) within the College of Nursing. In this capacity, the Administrative Coordinator supports global programming, educational initiatives, and international partnerships by coordinating logistics, communications, and operational processes across domestic and international activities.
Working with a high level of independence, discretion, and professionalism, the Administrative Coordinator integrates administrative coordination, practice operations, and executive support to advance the mission of the College of Nursing across both clinical practice and global palliative care initiatives.
ROLE AND RESPONSIBILITIES
Job Duties:
35% Office of Practice Operations & Clinical Support
- Serve as the primary point of contact for Office of Practice operational needs, supporting faculty practice providers and clinical partners.
- Coordinate clinic operations, provider schedules, onboarding activities, and clinical workflows.
- Maintain clinic schedules, operational calendars, and provider practice assignments.
- Support credentialing, licensure, DEA waivers, professional liability coverage, and compliance documentation.
- Maintain faculty practice files, evaluations, and practice workload tracking in institutional systems.
35% Administrative Operations & Records Management
- Coordinate daily administrative operations for the Office of Practice and Global Palliative Care programs.
- Maintain electronic records, databases, tracking systems, and operational documentation. Ensure accuracy, organization, confidentiality, and regulatory compliance of records and processes.
- Prepare operational, financial, and practice-related reports.
- Develop, update, and maintain policies, procedures, handbooks, and compliance documentation.
- Provide executive-level administrative support to leadership, including calendar management, meeting coordination, correspondence, and travel arrangements.
- Support special projects, operational initiatives, and strategic partnerships.
- Coordinate recruitment, hiring, and onboarding activities for faculty, staff, students, and trainees, including interview scheduling, applicant communication, orientation coordination, training requirements, access requests, and onboarding documentation.
10% Budget, Finance & Contract Support
- Assist with budget tracking, expense monitoring, and financial reconciliation activities. Support grants, contracts, and partnership documentation for practice and global programs. Coordinate with finance and institutional offices to support fiscal reporting and compliance.
10% Student, Learner & Trainee Coordination
- Coordinate student clinical placements and learner experiences with internal and external partners. Support onboarding, scheduling, and operational needs for students, trainees, and visiting scholars. Assist with educational materials, orientation activities, and learner support throughout clinical experiences.
10% Events, Continuing Education & Outreach
- Assist with planning and coordination of continuing education programs, trainings, and special events.
- Support ELNEC and Global Palliative Care educational initiatives and international collaborations. Coordinate logistics for virtual and in-person meetings, trainings, and outreach activities.
- Special projects as assigned.
BASIC QUALIFICATIONS
Minimum Requirements: A high school diploma and five years relevant experience in business management, public administration or administrative services; or a bachelor's degree and three years experience in business management, public administration or administrative services.
PREFERRED QUALIFICATIONS
- Previous healthcare front desk, clinical operations, or practice management experience.
- Experience supporting faculty practice, clinical programs, or academic health systems.
- Proficiency with databases and tracking systems (e.g., Excel, REDCap).

- Demonstrated ability to organize, prioritize, and manage multiple complex tasks independently.
- Strong verbal and written communication skills.
- Ability to interact professionally with clinical partners, faculty, staff, students, and trainees.
- Proven ability to handle highly confidential and time-sensitive information with discretion.
- Strong attention to detail and commitment to compliance, accuracy, and service excellence.
