**Job Title:** Operations Manager
**Reports To:** General Manager
**Supervises Directly:** All Front Desk Agents, Night Auditors, Housekeeping Room Attendants, Housepersons, Laundry Attendants, and Breakfast Attendants.
**Position Purpose:**
The Operations Manager is responsible for the comprehensive management of daily and long-term hotel guest reception, reservations, and telephone service operations. This role is essential in maintaining established revenue, expense, and quality standards. Collaborating with the General Manager, the Operations Manager ensures an efficient operation that consistently exceeds visitor, guest, and ownership expectations. Additionally, this position supports the Housekeeping and Laundry Departments and oversees all aspects of the Housekeeping Department in the absence of the Housekeeping Manager, ensuring high levels of cleanliness and guest satisfaction throughout the hotel, including guestrooms, hallways, lobbies, public areas, rest areas, laundry, storage, and work areas.
**Essential Responsibilities:**
1. Ensure guests are greeted, checked in, and assigned rooms promptly and courteously.
2. Adhere strictly to check-in procedures, obtaining accurate address and charge details from each guest.
3. Be readily available to address problems or complaints at all times.
4. Confirm that rooms are serviced and maintained according to company standards.
5. Maximize room occupancy while adhering to the agreed overbooking policy.
6. Facilitate effective communication between reservations, front office staff, and other departments such as Housekeeping.
7. Ensure all charges are accurately entered on the guest's bill and that it remains up to date.
8. Enforce credit control procedures, ensuring no bills exceed the stipulated limit without prior approval and that necessary documentation is on file.
9. Balance accounts daily.
10. Streamline check-out procedures for efficiency.
11. Ensure prompt delivery and collection of luggage from rooms.
12. Handle inquiries, messages, and theatre bookings courteously and efficiently.
13. Ensure that all Front of House staff are appropriately attired at all times.
14. Maintain cleanliness and orderliness in all Front of House areas.
15. Ensure timely delivery of newspapers and parcels to rooms.
16. Handle incoming and outgoing telephone calls promptly and courteously.
17. Guarantee maximum security for all items left in safety deposit boxes.
18. Ensure the hotel entrance remains accessible to vehicles and taxis at all times.
19. Conduct regular performance appraisals with all staff, identifying development and training needs.
20. Oversee regular On-the-Job training to meet established standards.
21. Appoint the most qualified candidates for vacancies, prioritizing internal promotions when possible.
22. Maintain maximum security in all areas under your supervision.
23. Act as Manager on Duty as required.
24. Attend Management Meetings as necessary.
25. Ensure timely and accurate submission of all reports and administrative tasks.
26. Monitor industry trends and propose implementation strategies.
27. Familiarize yourself with all local Civil Defense measures.
28. Ensure staff under your supervision are trained in Civil Defense measures.
29. Supervise Food & Beverage outlets (café) in the absence of the Food & Beverage Supervisor.
30. Oversee Housekeeping and Laundry staff, participating in performance evaluations, training, and development.
31. Assist the Housekeeping Manager in developing the department's annual budget.
32. Participate in cost control systems for staffing, inventories, and cleaning supplies.
33. Enforce departmental policies and procedures.
34. Ensure quality services are delivered to meet guest needs and enhance guest relations.
35. Direct hourly associates across all departmental areas.
36. Prepare daily assignment sheets for all Housekeeping and Laundry associates.
37. Maintain cleanliness quality in line with hotel objectives.
38. Inspect and monitor cleanliness in assigned guest rooms.
39. Report any unsatisfactory conditions to the assigned Room Attendant and ensure corrective actions are taken.
40. Assume responsibility for guest feedback and service scores across all departmental indices.
41. Monitor cleanliness in event areas, storage areas, restrooms, public areas, and offices.
42. Compile and report accurate status of all guestrooms to the Front Desk Department.
43. Collaborate with the Security Office to enforce procedures for accepting, securing, and returning guest lost and found items.
44. Maintain productivity and labor cost goals.
45. Conduct formal inventories of linen, supplies, and equipment as directed by the Housekeeping Manager.
46. Participate in ordering supplies to maintain adequate inventory levels as directed by the Housekeeping Manager.
47. Inspect all vacant rooms, public spaces, storage areas, and rest areas daily.
48. Maintain departmental key control.
49. Oversee the deep cleaning program.
50. Complete projects as assigned by the General Manager.
**Required Skills and Abilities:**
- Read and interpret business records and statistical reports.

- Make informed business decisions based on production reports and personal experience.

- Be available for work during evenings, weekends, and holidays.
**Qualifications:**
- Minimum of two years of Front Desk experience in the hospitality industry.
- High School Diploma or Associate's Degree.
- Ability to multitask effectively.
- Capability to thrive in a fast-paced environment.
**Physical Demands:**
Ability to lift a maximum of 20 lbs, with frequent lifting and/or carrying of objects weighing up to 10 lbs. The role requires significant walking or standing, reaching, handling, feeling, talking, and hearing.
**Environmental Conditions:**
Work is primarily indoors, providing protection from weather conditions but not necessarily from temperature changes. A job is considered "inside" if the worker spends approximately 75% or more of their time indoors.
