Job Summary
K.W. Auto Body is seeking a dependable, organized, and professional Office Assistant / Operations Manager Assistant to support the daily operations of our busy collision repair facilities.
This position will assist management with administrative duties, vehicle repair coordination, internal communication, customer service, documentation, and general office operations. The ideal candidate is comfortable working in a fast-paced environment, can manage multiple tasks, and communicates well with customers, insurance companies, vendors, and employees.
Automotive or collision repair experience is helpful but not required. We are willing to train the right candidate who is motivated, organized, and eager to learn.
Responsibilities
- Assist the Operations Manager with daily administrative and operational tasks
- Answer phones, respond to emails, and assist customers professionally
- Help schedule vehicle drop-offs, inspections, repairs, and deliveries
- Monitor repair files and assist with tracking vehicles through the repair process
- Help maintain accurate customer, insurance, vehicle, and repair documentation
- Communicate with estimators, technicians, parts staff, vendors, and management
- Assist with customer repair updates and follow-up communication
- Help organize paperwork, invoices, purchase orders, reports, and internal records
- Enter and update information in company computer systems
- Assist with parts, insurance, and vendor follow-ups when needed
- Help maintain an organized and professional office environment
- Support management with special projects and other duties as assigned
Qualifications
- Strong organizational and time-management skills
- Professional verbal and written communication
- Dependable, punctual, and able to maintain regular attendance
- Comfortable using computers, email, Microsoft Office, and web-based programs
- Able to handle multiple responsibilities and changing priorities
- Strong attention to detail and ability to follow established procedures
- Friendly, professional, and customer-service oriented
- Able to work independently and as part of a team
- Valid driver’s license preferred
- Previous office, administrative, automotive, insurance, or collision repair experience is a plus
- Experience with CCC ONE or other automotive management software is a plus but not required
Schedule
- Full-time
- Monday through Friday
- Approximately 7:30 a.m. to 4:30 p.m.
- No regular weekend work
Compensation
Pay is based on experience, qualifications, and ability.
