The position of the Office Manager requires leadership and direct oversight in collaboration with the lead technician clinical and front desk staff. It is the responsibility of the Office Manager to ensure highest level of patient care and referring doctor satisfaction through various responsibilities including staff management, directing the daily work and clinic flow, enforcement of policy and procedures, training, and ensuring compliance as detailed below.
About the Practice:
Retina and Uveitis Center (RUC) is a new Ophthalmology practice providing sub-specialty care in the fields of Vitreoretinal Diseases and Uveitis at Tyson’s Corner. The practice currently operates with one ophthalmologist with a plan for growth and expansion.
Essential Job Functions/Tasks include, but not limited to:
Staff Management
- Recruit, interview and hire new employees
- Manage personnel training and development programs
- Manage staff continuing education and licensure/certification
- Establish work schedules for staff
- Provide daily management and guidance, offer prompt feedback and coaching to all support staff
- Flexibility in job assignment, and participation in cross-training
- Filling in the front desk position as needed
- Ensure efficient utilization of work hours
- Ensure compliance of all staff and clients with company policies
Office Administrative Responsibilities
- Understand and ensure compliance with appropriate regulatory agencies, including monitoring any violations; documenting and reporting accidents; filing appropriate reports
- Understand the ethical requirements of medical/ophthalmology practice outlined by the code of ethics, and ensure that staff fulfill their ethical responsibilities
- Updating Standard Operating Procedures (SOP) for routine tasks as needed
- Manage maintenance of equipment
- Answering the phone, handling office emails
- Assist with marketing efforts via visits to referring doctors offices and utilization of social media
Clinical Responsibilities
- Responsible for the support of the clinician(s) and daily flow of the practice
- Maintaining stock of medications and inventory
- Obtaining prior authorizations/pre-certifications for office visits, medications and procedures in a timely manner
- Scheduling appointments
- Familiarity with medical/ophthalmology billing and coding is preferred
- Respond to patient and referring doctor questions
- Scheduling meetings and adjusting the schedule as needed
Equipment/Computer Skills:
Candidate must be proficient with Microsoft Office Suite - Word, Excel, Outlook
Familiarity with online marketing, and marketing via social media
