We are seeking a organized and empathetic Office Manager to lead our office staff team, streamline daily operations, and ensure our patients receive an exceptional experience from the moment they contact us.
Job Summary
As the Office Manager, you will be the backbone of our daily operations. You will manage reception staff, oversee billing and insurance workflows, coordinate provider schedules, and maintain a warm, welcoming clinic environment. The ideal candidate has experience in medical or behavioral health office management, thrives in a fast-paced setting, and possesses excellent communication skills.
Key Responsibilities
- Daily Operations: Oversee check-in/check-out processes, phone triage, and patient scheduling.
- Staff Leadership: Supervise, train, and schedule reception staff.
- Billing & Insurance: Coordinate billing workflows, copay collection, coordinate claims submissions and insurance credentialing support, complete insurance authorizations before patient visit.
- EHR Utilization: Utilize Electronic Health Records (EHR) system for accuracy and compliance, experience with Valant EMR preferred plus. Ability to find patient information in EMR, call patient for appointment, and either generate appointment or make a note that appointment could not be confirmed.
- Compliance & Records: Ensure office adherence to HIPAA regulations and medical record security standards.
- Provider Support: Act as the main point of contact for clinicians regarding scheduling and administrative needs.
- Inventory Control: Monitor and order office supplies to keep the practice running smoothly.
- Coordination: Ability to schedule visits with external companies (such as Verizon Internet) when needed.
- Ability: Employs an effective patient complaint and problem resolution system which solves the immediate problem and institutes measures to prevent problem recurrence. Effective time and attendance management.
Qualifications
- Experience: Minimum of 2–3 years in medical/dental office management (behavioral health or psychiatric practice experience highly preferred).
- Software Skills: Proficiency with EMR software. Basic Microsoft Word and basic computer literacy.
- Knowledge: Strong understanding of health insurance, mental health coding, and HIPAA regulations.
- Interpersonal Skills: High emotional intelligence, confidentiality, and a patient-first mindset.
- Education: GED or high school diploma required, ability to learn on the job highly valued.
Pay: $50,000.00 - $62,000.00 per year
