Position Summary
The Senior Faculty Practice Manager provides strategic and operational leadership for the Columbia Dental Faculty Practice at the 51st Street location. This individual is responsible for overseeing all administrative functions to ensure efficient, compliant, and patient-centered operations across clinical services, financial performance, and personnel management. Serving as the operational leader of a high-complexity flagship site, the role also extends leadership oversight and operational coordination across additional practice locations to promote alignment, consistency, and system-wide excellence. This role will oversee a high-complexity flagship location on 51st Street and provide operational leadership across additional sites.
Responsibilities
Reporting to the Chief Practice Director, the Faculty Practice Manager will be responsible for, but not limited to:
Faculty Practice Operations
- Oversee daily faculty practice operations and supervise front-end, support and hygiene staff.
- Provide support across all practice locations to ensure operational consistency, efficiency, and patient experience excellence.
- Design and implement a cross-training strategy across all sites to increase staffing flexibility and reduce operational silos.
- Oversee operational integration of general dentistry, oral surgery, orthodontics, periodontics, endodontics, and additional subspecialties.
- Partner with site practice managers.
- Manage patient flow to ensure timely, efficient, and high-quality service delivery.
- Manage and monitor provider schedules.
- Address patient concerns and lead customer service improvement initiatives.
- Oversee patient treatment consultations and post-operative surgery follow-ups, ensuring comprehensive patient education and continuity of care.
- Oversee the insurance verification process, ensuring accurate eligibility checks, pre-certifications, and pre-authorizations for all services.
- Oversee check-in/check-out processes, cash management, and point-of-service collections.
- Ensure compliance with all internal policies and external regulatory requirements, including infection control and environmental safety.
- Develop, implement, and enforce operational policies and procedures.
- Analyze operational data to identify efficiencies and improvement opportunities.
- Manage facility operations, including equipment assessment, purchasing, and supply ordering.
- Communicate effectively with patients, guardians, faculty, and staff.
Human Resources and Finance Management
- Direct, train, and supervise support staff.
- Ensure appropriate staffing levels to support clinical and operational needs.
- Assist with recruitment, hiring, onboarding, professional development, and performance management.
- Assist with managing cross coverage planning to ensure adequate staffing availability.
- Assist Human Resources with temp agency onboarding processes.
- Oversee and process payroll in coordination with institutional policies.
- Coordinate staff vacations and manage routine leave requests.
- Initiate disciplinary actions as needed and complete annual performance evaluations for service corps employees.
- Oversee billing operations at 51st location.
- Monitor requisitioning of supplies, materials, and equipment.
- Track vendor payments and manage accounts payable.
- Supervise billing operations, patient statements, and accounts receivable activities.
- Perform other related duties and responsibilities as assigned/requested.
Minimum Qualifications
Requires a Bachelor's degree or equivalent in education, training and experience, plus four years of relevant experience.
Preferred Qualifications
- Bilingual a plus.
- Expertise in physician billing and reimbursement.
Other Requirements
- Supervisory, billing and collection experience.
- Must have excellent customer service skills in a high-pressure environment.
- Must be able to interact with all levels of staff and must understand patient confidentiality.
- Knowledge of Microsoft Word, Outlook and Excel.
- Must be highly organized and motivated, excellent interpersonal and communication skills needed.
- Ability to work in a fast-paced environment with medical and dental providers.
