JOB DESCRIPTION
General Summary:
The Project Coordinator supports the Creative Services team by coordinating logistics, schedules, communications and project workflows, with a strong focus on video, podcast and photo production, as well as content marketing initiatives. Reporting to the Director of Design & Creative Operations and working closely with the Creative Director and Senior Project Manager, this role helps keep projects moving through the production pipeline on schedule. The Project Coordinator serves as a central point of coordination across marketing partners, stakeholders, vendors and creative team members from project kickoff through delivery.
Essential Job Functions:
- Coordinates logistics for creative production projects, with a strong focus on video and photo shoots. Includes scheduling providers, donors, patient families and staff; maintaining a calendar of upcoming shoots; overseeing room and location reservations and providing occasional onsite support for video/photo shoots, as needed.
- Supports the production of Lurie Children’s podcasts. Includes coordinating schedules between the hosts, guests and studio; ensuring necessary equipment is in place; assisting pre-show preparation; ensuring the editorial calendar is updated to reflect any changes in schedule.
- Coordinates content marketing projects, including video, blog and social deliverables, that support priority clinical programs and service lines. Includes creating and updating project timelines; tracking milestones and deadlines; coordinating across marketing teams to align on inputs and timing; and helping projects move through production and launch on schedule.
- Supports project tracking and reporting in partnership with the Senior Project Manager, including updating project statuses, monitoring progress and flagging risks or delays.
- Coordinates with external vendors including photographers, videographers and production partners to confirm bookings, schedules and production logistics.
- Coordinates the retrieval and distribution of video assets, including b-roll and final files, to internal stakeholders and media contacts.
- Other job functions as assigned.
Knowledge, Skills and Abilities:
- Bachelor's degree required or an equivalent combination of education and/or experience (2+ years) may be considered in lieu of the degree when the experience has been directly related to the duties of the job.
- Strong organizational skills required. Experience independently coordinating projects with ability to establish priorities preferred.
- Demonstrated ability to respond promptly to and coordinate a variety of requests and needs often on short notice.
- Strong interpersonal and oral/written communication skills and demonstrated ability to collaborate with individuals from different backgrounds and disciplines.
- Ability to take initiative and work independently.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
- Familiarity with creative production workflows and tools, including Adobe Creative Suite, preferred.
- Experience working in project management or workflow tools, such as Smartsheet, Lytho or similar platforms, preferred.

Monday - Friday, 8:30am-5:00pm (special projects on weekends occasionally)

PAY RANGE
$59,280.00-$96,928.00 Salary
