Pro Facade LLC is seeking an organized, proactive, and detail-oriented Logistics & Purchasing Assistant to support the coordination and daily execution of our logistics operations.
The primary focus of this position is logistics coordination, including scheduling and tracking deliveries and pickups, coordinating drivers and material movements, communicating with vendors and internal teams, and ensuring materials arrive at the correct location and on schedule.
The position will also provide support with purchasing activities, including purchase orders, vendor follow-ups, quotes, and material availability.
The ideal candidate has strong logistics experience, excellent follow-up skills, and the ability to manage multiple deliveries, pickups, and priorities in a fast-paced construction and manufacturing environment.
Key ResponsibilitiesLogistics – Primary Focus
- Coordinate and schedule daily material deliveries and pickups between vendors, the warehouse/shop, and job sites.
- Organize and maintain the daily and weekly logistics schedule.
- Coordinate drivers, company vehicles, and transportation resources according to operational needs.
- Track deliveries and pickups to ensure materials arrive at the correct location and within the required timeframe.
- Communicate directly with drivers, vendors, warehouse personnel, project teams, and supervisors regarding delivery status and changes.
- Confirm material readiness with vendors before scheduling pickups.
- Verify delivery addresses, contact information, material quantities, and special instructions before dispatch.
- Monitor pending deliveries and proactively follow up on delays or scheduling conflicts.
- Assist in planning efficient delivery and pickup routes.
- Coordinate urgent or last-minute transportation requests when necessary.
- Maintain accurate records of deliveries, pickups, packing slips, delivery tickets, and related documentation.
- Follow up on missing, damaged, incorrect, or delayed materials.
- Coordinate closely with the warehouse and production teams regarding incoming and outgoing materials.
- Maintain updated logistics trackers and provide status updates to the appropriate departments.
- Help identify scheduling conflicts and logistics issues before they impact production or job-site operations.
Purchasing Support
- Assist with preparing and processing purchase orders (POs).
- Request quotes, pricing, material availability, and lead times from vendors.
- Follow up with vendors regarding open purchase orders and material readiness.
- Maintain organized purchasing documentation, including POs, quotes, invoices, and vendor information.
- Assist with resolving discrepancies involving pricing, quantities, or materials received.
- Coordinate with Purchasing to ensure materials are ordered and available according to project and production requirements.
Qualifications
- Previous experience in logistics, transportation coordination, dispatching, shipping/receiving, or material coordination is strongly preferred.
- Knowledge or previous experience with purchasing and purchase orders is preferred.
- Strong organizational, scheduling, and follow-up skills.
- Ability to coordinate multiple deliveries and pickups simultaneously.
- Excellent problem-solving skills and ability to respond quickly to changing priorities.
- Strong attention to detail.
- Effective communication skills when working with drivers, vendors, supervisors, and internal departments.
- Ability to work in a fast-paced environment and manage time-sensitive requests.
- Proficiency with Microsoft Outlook and Excel.
- Comfortable learning logistics, purchasing, inventory, and project management systems.
- Dependable, proactive, and able to work with minimal supervision.
Preferred Qualifications
- Experience in construction logistics, manufacturing, building materials, warehouse operations, or a related industry.
- Experience coordinating drivers, deliveries, and job-site material movements.
- Familiarity with purchase orders, packing slips, delivery tickets, and receiving documentation.
- Knowledge of the South Florida / Miami-Dade area is a plus.
- Bilingual English/Spanish preferred.
Pay: $18.00 - $20.00 per hour
