SUMMARY
Responsible for the sourcing, procurement and coordination of capital equipment for the system. Collaborates with appropriate Service Line Managers to execute sourcing initiatives yielding cost savings and operational efficiencies. Supports a service focused purchasing model consistently achieving the established service levels with the goal of providing high quality, efficient and cost-effective service.
Responsibilities
- Responsible for the capital equipment competitive bids, negotiations and process for sourcing calendar.
- Reviews annual capital budget and identifies opportunities and negotiates bulk buys, in conjunction with Construction Equipment planners where applicable.
- Other duties assigned.
- Enhances professional growth and development through participation in educational programs, reading literature, attending in-services, meetings and workshops.
- Maintains thorough knowledge of Materials Management Information Systems (MMIS) and other software related to their job functions.
- Responsible to ensure that all Sourcing and Purchasing activities are compliant with Supply Chain and MHS Policies and/or procedures.
- Uses all systems and follows all processes as per department expectations to assure quality, efficiency and accuracy.
- Provides input for revisions of systems and processes based on operational experience.
- Ensures that individual actions meet performance standards and metrics (Service Level Goals) for Purchasing staff and operations.
- Maintains a professional appearance and projects a professional demeanor while keeping a positive attitude, even during difficult situations.
- Round of assigned departments on a routine basis to provide exceptional customer service and communication.
- Provide guidance or training as needed to facilitate operational efficiency.
- Works with Accounts Payable to resolve discrepancies.
- Serves as a liaison between Accounts Payable and receiving departments on invoice and receipt discrepancies as required to follow the purchase order to completion.
- Manages Vendor Vetting activities from requests, monitoring to completion and communication to end users.
- Assists customers on product returns and product recalls.
- Follows the return process through completion.
- Collaborates with Construction, Facilities Management, Information Technology, and Clinical Engineering on equipment sourcing, evaluations and procurement to include leases. This also includes any 3rd party partners.
- Collaborate with Clinical Engineering on equipment warranties, service contracts and equipment issues.
- Collaborates with Strategic Sourcing and Value Analysis for equipment purchases ensuring initiatives are inclusive of both equipment and commodities.
- Participates in Value Analysis and other Supply Chain committee meetings for assigned departments.
- Participates in vendor business reviews where applicable.
- Reviews all equipment authorization for expenditures to ensure accurate pricing and proper approvals.
- Prepare and issue purchase orders and coordinate delivery schedules.
- Obtains, evaluates and documents proposals to assure competitive pricing.
- Obtains price benchmarks from ECRI, Premier, and/or Yankee Alliance.
- Coordinates evaluations for equipment technology.
- Prepares all equipment comparisons prior to award.
- Serves as a resource for equipment information.
- Acts as a liaison for stakeholders and vendors.
- Supports customers with annual budget planning and support.
- Maintains capital and minor equipment approved catalog inclusive of equipment lifecycle.
- Utilizes catalog to assist in capital budget forecasting for the system.

Bachelors (Required)
ADDITIONAL JOB INFORMATION
Complexity of Work: Knowledge in Microsoft Office Suite, especially MS Excel required. Knowledge of standard purchasing procedures and practices. Excellent communication skills both written and verbal. Must have strong organizational skills and ability to multitask. Strong problem-solving skills. Must be able establish and maintain effective working relationships. Must be able to interact successfully with individuals at all levels within MHS and external to the organization. This position requires significant teamwork across the healthcare system. Must be able to work in a team-oriented environment.
Required Work Experience: Three (3) years of experience in equipment sourcing. Healthcare Preferred. Other Information: Candidate may have an Associate degree and five (5) years of relevant experience or High school Diploma, GED or equivalent with seven (7) years of relevant experience.
