Summary: The General Ledger Senior Staff Account is responsible for preparing financial statements for a high end portfolio and assist the Accounting Department as needed. May assist in accounting tasks including: Accounts Receivable, Titles, Utility ACHs, and other ad-hoc projects as needed. Performs other as-needed items to support the Accounting team.
Must be available during business hours Monday through Friday. After a 30-day probation period and performance evaluation, the position will be eligible to work from home 3-4 days per week, and is retractable if output decreases.
Essential Job Duties and Responsibilities:
General Ledger (65%):
- Process financials on a monthly basis in an accurate and timely manner for modified accrual and cash basis. This includes detailed analysis and maintaining the Financial Quicksheets as needed.
- Assist in the annual tax prep (compile and provide year end documents to third-party Tax CPA – no actual tax work). This includes performing year end tasks.
- Be available to assist in the annual budget prep by working with Community Managers. Process accounting steps once receive approved budget from managers (recurring journal entries/transactions each year, automated charges, etc).
- Handle special projects or analyses as needed. This includes meeting with high-end clients.
Accounts Payable (15%):
- Review and final approve invoices in Avid for assigned clients.
- Assist in making online/phone insurance payments for clients.
- Set up new utility accounts for onboardings or new development new accounts.
- Assist in maintaining and monitoring vendor data ensuring W9s and COI are on file and up to date. Contact vendors as needed for missing and outdated documentation.
- Assist as needed to download, save, and post monthly ACH Utility invoices
General Accounting Duties (10%):
- Assist with onboarding/offboarding Accounting items as needed by the Association Controller/Onboarding team. This includes, but is not limited to, updating packets, homeowner information, balance forwards, vendor communication, utility set up.
- Assist Association Controller and Accounting Staff with any as needed accounting issues.
Accounts Receivable (5%):
- Review AR/Title Accountants’ homeowner and miscellaneous deposits, then deposit them into the applicable bank accounts via remote scanning.
- Assist AR team as needed with AR inquiries, adjustments, statements, lockbox reviews, return payments, payment plans, etc
Process improvement (5%):
- Research and brainstorm processes to streamline current Accounting processes. Look into new software/providers as needed using knowledge of current processes and limitations.
Qualification Requirements:
- Strongly prefer to have financial intercompany and/or shared cost experience, preferably for two annual cycles.
- Thorough knowledge of basic accounting principles and practices. Must have experience in full cycle accounting in multiple areas (AR, AP, etc).
- Must be proficient in Excel and Outlook, and other products found in use within the company. Advanced Excel skills preferred, but not required.
- Ability to perform all essential duties and responsibilities listed above with minimal supervision, handling assignments with the highest level of discretion, judgment, and independence.
- Excellent organizational and time management skills. Capable of managing competing priorities under pressure and in a fast-paced environment.
- Must have excellent skills to resolve problems and provide a high level of satisfaction.
- Must have strong written and verbal communication skills. Exceptional customer service skills to provide a high level of customer satisfaction.
- Require the ability to use computers to record, store, and analyze information. Require computer proficiency and technical aptitude with the ability to utilize MS Office and various applications found in use within the company. Good knowledge of various business machines typically found in an office.
- Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems. Require strong attention to detail and strong analytic skills. Must be able to solve problems and remain calm and alert during busy activity periods.
Education and/or Experience:
- Bachelor’s degree in accounting or related field. CPA desired but not required.
- Requires five or more years of progressively responsible accounting/general ledger experience.
Pay: $63,000.00 - $65,000.00 per year
