Job Summary: The Supply Chain Associate 1 works as a part of Operation HQ to contribute in implementing ERP processes to increase efficiencies while ensuring Company’s Standard Operation Procedure (SOP) is properly followed. This job includes performing a range of design, testing, deploying, and maintaining general and specific Oracle system developments. This position needs to be thoroughly knowledgeable about all aspects of the company’s operation flows, processes, and practice in order to create and maintain documents such as written SOPs and procedure manuals. This position reports to the Operation HQ Manager.
Essential Job Functions:
- Troubleshoot ERP system issues that are reported by the branch. When necessary, serve as a liaison between users and software techs.
- Test when new developments, patches, and software upgrades, become available by creating scenarios and coordinating the test to verify/validate results.
- Help branches by answering their questions and providing solutions to their issues for both systems and workflows.
- Create and modify SOPs and other supporting documents, such as manuals to aid branch operations.
- Maintain and keep the ERP Portal current to make sure all saved materials are current.
- Train branch users by designing/conducting sessions.
- Attend scheduled meetings and actively share information, improvement plans, and observation.
- Support Operation HQ Managers in business process improvements, implementing best practices, and fully utilizing ERP system.
- Collect information from branches and prepare data, reports, charts, and matrixes.
- Assist with internal and external auditors regarding Oracle system and operation procedures.
- Provides project status and other reports to his/her manager.
- Recommends new features or changes to system or operation workflow based on user feedback.
- Demonstrates behaviors consistent with the core values and mission of Operation HQ.
- Other duties as assigned.
Knowledge, Skills and Ability:
- Organize and prioritize numerous tasks and complete them under various time constraints.
- Require computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, and Outlook software, as well as other general office skills.
- Understand principles, practices, and procedures of our operation workflow as well as our current ERP system (Oracle).
- Think creatively and resolve problems to ensure the smoothest possible experience for users of the ERP system.
- Work with a wide variety of system issues and personalities while continuing to promote a professional and pleasant demeanor.
- Strong communication skills to be able to get complex ideas in an easy-to-understand fashion in writing (including email), reading, and speaking in English (other language is a plus, but not required).
- Use an effective tool, such as PowerPoint to create visually appealing easy-to-follow presentations and good at public speaking.
- Use Excel or other spreadsheets to organize data into an easy-to-read format.
- Follow written and/or oral instructions; speak clearly, concisely, and effectively.
- Positive work history and ability to maintain solid attendance.
- Available to work extended hours.
