Executive Assistant - Data & Digital (Engineering & Architecture)

Vizient Inc. is seeking an experienced Executive Assistant to provide comprehensive administrative support to senior leadership within Engineering and Architecture, part of Vizient’s Data & Digital (D&D) business area.
In this role, you will provide administrative support to senior leaders within Engineering and Architecture. You will manage all aspects of their daily operations to maximize efficiency, effectiveness, and impact, while serving as a key point of contact between leadership and internal and external stakeholders.
You will be responsible for complex and high-visibility assignments that require discretion, sound judgment, problem solving, and timely execution. You will act as a trusted partner, representing leadership with professionalism and ensuring a high level of service, while fostering strong working relationships across teams. This role plays a critical part in enabling the success of a fast-scaling organization, supporting key initiatives, and reinforcing a culture aligned with Vizient’s values: Be Bold, Be Accountable, Be Inclusive, Be Purposeful.
Summary
In this role, you will support a dynamic and rapidly growing leadership team led by James Gain, Chief Technology Officer. You will partner closely with leaders driving innovation across engineering, architecture, and technology strategy. You will also collaborate with a highly engaged and respected community of administrative professionals across the enterprise. At Vizient, we are committed to investing in our administrative community through skill development, knowledge expansion, networking, leadership development, and professional growth. Our administrative professionals are central to how we operate and are part of an enterprise support team known as Administrative Services.
Responsibilities:
- Maintain discretion and protect sensitive information at all times; handle all confidential matters with professionalism and trust.
- Manage complex calendars, travel, and meetings with strong attention to detail.
- Independently resolve scheduling conflicts; proactively plan weeks ahead to ensure executive calendars, travel, and materials are organized and seamless.
- Prepare and submit timely expense reports; review direct report expenses for policy adherence.
- Act as a primary liaison for executives; manage communication flow, respond to inquiries, and foster strong relationships with internal and external stakeholders.
- Handle executive and client-facing interactions with sound judgment; represent leadership with professionalism while building trusted partnerships.
- Coordinate meeting logistics and changes across multiple teams; ensure alignment and clear communication.
- Anticipate needs and resolve gaps in information by proactively engaging stakeholders.
- Prepare and distribute correspondence, agendas, reports, and presentation materials in advance of meetings.
- Partner with executives to problem solve and navigate competing priorities.
- Identify inefficiencies in processes; recommend and implement improvements to enhance effectiveness.
- Support onboarding and training of administrative staff by sharing best practices, tools, and processes.
- Expand knowledge of systems, tools, and business context to better support day-to-day operations.
- Provide backup support to peers and contribute to overall team efficiency.
- Suggest and support initiatives that enhance team culture and employee engagement.
Qualifications
- Relevant degree preferred.
- 5 or more years of experience supporting senior executives in a complex, fast-paced environment required.
- Proficiency in Microsoft Word, Excel, and PowerPoint required.
- Strong project management and organizational skills; ability to manage multiple priorities with precision.
- Excellent written and verbal communication skills.
- Professional presence with a proactive, solutions-oriented mindset.
- Strong attention to detail and ability to anticipate needs.
- Experience coordinating small and large meetings and events.
- Demonstrated ability to handle sensitive information with discretion.
- Self-directed, resourceful, and results-oriented.
- Strong collaboration skills and emotional intelligence; ability to build trust and partnerships across teams.
- Willingness to travel.
This is an office based role with an expectation of three days per week on site in Edina, MN.
Estimated Hiring Range:
At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $68,500.00 to $116,300.00. This position is also incentive eligible.
