Summary
We are seeking a detail-oriented and energetic Data Entry Specialist with a focus on accounting to join our team. In this role, you will be responsible for accurately inputting financial data, maintaining organized records, and supporting our accounting department’s data management needs. Your proactive approach and strong organizational skills will help ensure the integrity and efficiency of our financial operations.
Responsibilities
- Enter financial transactions into databases and ERP (Enterprise Resource Planning) systems with precision and speed
- Maintain accurate records of invoices, payments, and account details through diligent data entry
- Verify data accuracy by cross-referencing source documents such as receipts, invoices, and reports
- Organize and file digital and physical documents to ensure easy retrieval and compliance with company policies
- Assist in data collection efforts for financial reports and audits using office software tools like Microsoft Excel
- Create and update spreadsheets, including pivot tables, to analyze accounting data effectively
- Support order entry processes by inputting relevant information into the system accurately
Main Job Tasks and Responsibilities
- Review and verify invoices and check requests
- Sort, code and match invoices
- Set invoices up for payment
- Enter and upload invoices into system
- Track expenses and process expense reports
- Prepare and process electronic transfers and payments
- Prepare and perform check runs
- Post transactions to journals, ledgers, and other records
- Reconcile accounts payable transactions
- Prepare analysis of accounts
- Monitor accounts to ensure payments are up to date
- Research and resolve invoice discrepancies and issues
- Maintain vendor files
- Correspond with vendors and respond to inquiries
- Produce monthly reports
- Assist with month end closing
- Provide supporting documentation for audits
Basic Qualifications
- Proven experience with data entry, clerical tasks, or administrative support in an office environment
- Strong computer skills, including proficiency in Microsoft Excel, Office applications, and database management
- Excellent typing skills with high accuracy and attention to detail
- Familiarity with ERP systems and databases used for accounting or inventory management is preferred
- Basic math skills to verify figures and perform simple calculations confidently
- Demonstrated organizational skills to manage multiple tasks efficiently
- Previous experience in accounting or finance-related roles is a plus but not required
