Job Title: Coordinator, Business and Legal Affairs
A little bit about our team:
WMG Global Catalog/Rhino Entertainment is the catalog division of Warner Music Group responsible for advancing the legacy of Warner’s iconic artists and optimizing the performance of Warner’s recorded music catalog, including that of legacy artists and current superstars. Rhino’s dynamic Business and Legal Affairs team shares a passion for music, values hard work, and brings a creative, problem-solving mindset. We focus on innovative deals with and for WMG artists across recorded music, brand licensing, and ancillary exploitation. We work cross-functionally with A&R, marketing, fan engagement, commerce, and finance to structure deals and further strengthen relationships with our artists. We also field inquiries regarding the U.S. catalog repertoire, handle pre-litigation claims and litigation in coordination with WMG’s corporate litigation in-house counsel, and implement WMG’s rights in connection with the same. We collaborate closely with our affiliated labels, Atlantic, Elektra, and Warner Records, as well as with WMG’s corporate teams.
Your role:
A key player on the team, this individual will support the Head of Business & Legal Affairs and other top executives and senior management within the Business & Legal Affairs department at Rhino Entertainment. In addition, this role will handle the calendar and scheduling for the CFO, Rhino & Global Catalog. As the point person for the Business Affairs team, you will collaborate closely with a wide range of departments at WMG, as well as with many other record labels within the company. Rhino Entertainment is home to music by some of the most iconic musicians of all time: The Doors, Grateful Dead, Eagles, Led Zeppelin, Fleetwood Mac, and many more. Here you’ll get to:
- Provide high-level administrative support to Business and Legal Affairs executives and the CFO, masterfully managing calendars, scheduling meetings, coordinating travel, and planning team events
- Facilitate the end-to-end contract execution process, routing deal memos and agreements for signature, and entering key rights data into WMG’s administration database
- Streamline departmental finances by processing invoices, managing travel and entertainment expenses, setting up new vendors, and handling payments for all agreements
- Handle critical communications, drafting and routing polished internal and external correspondence on behalf of the department
- Maintain organization and security across the team, keeping digital and physical filing systems immaculate while safeguarding confidential information
- Produce presentations, reports, and charts as needed
- Drive operational excellence, collaborating with internal partners (like IT and Office Services), optimizing office workflows, and taking on special projects
About you:
- Associate’s or Bachelor’s degree, or equivalent experience
- Exceptional verbal, written, and interpersonal skills, with the emotional intelligence to collaborate effectively across diverse personalities and styles
- Highly organized and thrives in fast-paced environments, with top-tier time management, prioritization, and proofreading skills
- Commitment to confidentiality
- Proactive self-starter capable of working with complete autonomy while remaining a dedicated team player
- Quick learner who embraces new challenges, prioritizes multiple deadlines, and is committed to continuous professional excellence
We’d love it if you also had:
- 1–3 years of experience in executive support, office management, or the music industry
- Experience with Google Workspace and collaborative database tools like Airtable
- Proven ability to manage schedules, balance priorities, and streamline workflows for multiple busy leaders simultaneously
- A sharp eye for identifying and resolving issues before they arise, with a natural drive to optimize office processes and procedures
