Position Overview
Procreate Fertility Center of Virginia is seeking a detail-oriented and motivated Billing & Coding Specialist to join our billing team. This position will primarily focus on insurance claim follow-up, denials, and coding review to ensure claims are processed accurately and reimbursement is received in a timely manner.
This position will begin as part-time, with the potential to transition into a full-time position in the future as our practice continues to grow and the needs of the billing department expand.
The ideal candidate has experience in medical billing and insurance follow-up, is comfortable communicating with insurance carriers, and understands the importance of documenting every step of the claim process. Bilingual fluency in Spanish and English is highly preferred.
Key Responsibilities
- Follow up on outstanding and unpaid insurance claims.
- Review insurance Accounts Receivable (A/R) and prioritize claims based on age, balance, and timely filing deadlines.
- Contact insurance companies to obtain claim status and determine reasons for nonpayment or delays.
- Work denied, rejected, and underpaid claims and take the appropriate steps for resolution.
- Correct and resubmit claims when necessary.
- Prepare and submit appeals, reconsiderations, corrected claims, and supporting medical records.
- Review CPT, ICD-10, modifiers, and other billing information for accuracy.
- Identify coding or billing issues that may be causing claim denials.
- Verify payments, adjustments, and patient responsibility based on insurance EOBs.
- Document all insurance follow-up activity clearly and accurately in the billing system.
- Track claims requiring additional follow-up and ensure issues are resolved before timely filing or appeal deadlines.
- Communicate with providers and clinical staff when additional documentation or clarification is required.
- Review patient accounts and explain billing statements, insurance payments, adjustments, deductibles, coinsurance, copays, and outstanding balances in detail.
- Answer patient questions regarding charges, insurance processing, EOBs, and financial responsibility in a clear and professional manner.
- Collect patient payments and assist patients with resolving outstanding account balances.
- Process payments accurately and document payment activity appropriately in the patient's account.
- Assist Spanish-speaking patients with billing-related questions and payment needs when necessary.
- Provide clear and professional communication in both English and Spanish.
- Assist with other billing and revenue cycle responsibilities as needed.
Qualifications
- Previous experience in medical billing, coding, insurance claims, or patient collections preferred.
- Bilingual in Spanish and English.
- Ability to communicate professionally and clearly in both languages.
- Knowledge of CPT, ICD-10, modifiers, EOBs, insurance denials, and claim submission requirements.
- Experience working with commercial insurance, Medicare, Medicaid, and/or Tricare is a plus.
- Strong understanding of insurance claim follow-up and denial management.
- Comfortable reviewing patient accounts and explaining billing statements and insurance benefits in detail.
- Ability to confidently discuss patient balances and collect payments in a professional and compassionate manner.
