We are currently seeking a bilingual Receptionist to help with client services and our legal team.
Candidates should have:
- Exceptional communication skills.
- Prior experience working in an office, preferably in a legal office.
- Strong time management skills; ability to prioritize and multi-task; as well as be deadline and detail oriented.
- Fluent in Spanish and English (both oral and written)
Job Duties: Under the supervision of Attorneys and Senior Staff, assist our team in both administrative and client services functions, including but not limited to:
· Answer incoming calls from clients, prospective clients and vendors
· Greet clients and assist clients and other individuals coming to the office for meetings, to pick up/drop off documents, and/or requesting general information
· Process incoming mail according to Firm protocols
· Prepare and process out-going mail according to Firm protocols
· Manage the daily calendar by scheduling and confirming appointments
· Support attorneys and staff to coordinate client communications
· Refer all incoming inquiries regarding potential consultations to our Client Services Specialist
· Support and assist Client Services Specialist with providing information and scheduling potential consultations.
· Scan / Copy / File / organize client documents, outgoing filings and incoming mail
· Utilize Immigration Case Management system to complete case documentation including case notes, set and review reminders, calendar cases, meetings
· Maintain and protect client confidentiality
