This role is for someone who comes from the promotional products industry. You have real experience with ASI, PPAI, SAGE and the supplier network, you know decoration methods across hard goods and apparel, and you have helped customers go from a brief to a finished, decorated product. You will be the primary point of contact for your customers and the bridge between them and our supplier network. You enjoy and can work with customers, vendors and decorators.

Your role:
You will be the customer’s go-to person. You will take inbound inquiries, understand their project, give creative ideas, source the right products from our supplier network, manage proofs and artwork, place purchase orders, and shepherd the work through to delivery. You bring decoration know-how (screen print, embroidery, laser engraving, pad print, sublimation, DTG, deboss/emboss, transfers, vinyl on apparel and on hard goods) so you can confidently advise customers on what method fits the product, the finish quality, and the budget.
Areas include: customer point of contact for promotional products work, sourcing from suppliers (via SAGE Online), quoting and presentations, proofs and artwork coordination, decoration method advice, purchase order management with suppliers, order tracking and status updates, CRM and order system maintenance, and partnership with our internal production team on in-house decoration work.

Key Responsibilities & Duties:
- Customer Point of Contact: Be the primary point of contact for your customers. Handle inbound inquiries by phone, email and live chat. Understand project requirements and guide customers through the full ordering process from initial request to final delivery.
- Creative Recommendations: Provide creative ideas based on customer needs and submitted briefs. Suggest the right products, the right decoration methods, and the right approach for the budget and timeline.
- Decoration Advice: Use your knowledge of decoration methods across hard goods and apparel (screen print, embroidery, laser engraving, pad print, sublimation, DTG, deboss/emboss, transfers, vinyl) to advise customers on the method that best fits their product and finish quality goals.
- Sourcing: Source suitable promotional products from supplier networks based on customer briefs, budget and timeline. Pull competitive quotes (via ESP, SAGE, CommonSku, OrderMyGear, DistributorCentral and direct supplier relationships) and present the best options.
- Quotes, Presentations & Sales Orders: Prepare and present professional product presentations, estimates and sales orders tailored to each customer. Ensure every detail is accurate and clearly communicated before approval.
- Purchase Order Management: Once orders are approved, coordinate with suppliers to confirm specifications, artwork, quantities and delivery schedules. Place and manage purchase orders through to completion.
- Artwork & Proofs: Coordinate proofs and ensure artwork is production-ready. Catch issues with vectors, PMS colors, sizing or imprint locations before the work goes to production. Communicate proof approvals and changes clearly to customers and suppliers.
- Order Tracking & Issue Resolution: Track all active orders in our order system. Provide regular status updates to customers. Proactively spot and resolve any production or delivery issues to keep promised dates.
- Records & System Hygiene: Maintain accurate and up-to-date records for all customers, suppliers, products and orders in our system. Keep the data clean so the team can pick up any account at any time.
- Internal Partnership: Partner closely with our in-house production team for orders that we decorate ourselves. Make sure handoffs between you and production are clean.
- Continuous Improvement, always making it better: Bring forward ideas for better supplier relationships, smoother processes, and a better customer experience.
Skills:
- Experience in the promotional products industry is required. ASI / PPAI / SAGE distributor or supplier work, or in-house promo for a brand or organization all count.
- Hands on experience with industry platforms. Some combination of ESP, SAGE Online, CommonSku, OrderMyGear, DistributorCentral, DecoNetwork or InkSoft.
- Working knowledge of decoration methods across hard goods and apparel. You can speak to screen print, embroidery, laser engraving, pad print, sublimation, DTG, deboss/emboss, transfers and vinyl with real understanding.
- Comfortable reading and managing artwork files. You know what makes a print-ready vector file vs a file that needs more work. Familiar with Adobe Illustrator or CorelDRAW. Comfortable with Pantone / PMS color matching.
- Strong sourcing instincts. You know how to find the right product at the right price and the right timeline.
- Customer-first mindset. You are the kind of person customers ask for by name.
- Excellent verbal and written communication. Accurate spelling, efficient typing, professional and warm tone.
- Detail-oriented with strong organizational skills and the ability to multitask in a dynamic environment.
- Comfortable with CRM systems, order management software and Microsoft Office suite.
